Note & Communication Logs Add-on

If you need to record notes or communications related to a family or student that are not related to a specific lesson, the Note & Communication Logs Add-on allows you to record these on the family or student's profile. For notes related to lessons use the "Complete" form to save notes.

NOTE: Note & Communication logs are for internal use. They can be added by the company administrator and staff employees with the "Students & Families" permission set to "Manage". Teachers can view records and add notes to student profiles. These records are not visible to students or families.

Enabling the Add-on

  1. Click on "Account & Settings" and then click on "Integrations & Add-ons".

  2. Use the "Search" field on the right and enter "Notes & Communications Logs".

  3. Click on the "Enable" link.

Once enabled, a "Notes & Communications" section will be visible on family and student profiles.

Usage

Adding an Entry

You can follow the steps below to add an entry to a student or family's profile:

Student

  1. Click on "Students" and then click on "Students".

  2. View the student's profile by clicking on the "First Name" or "Last Name" column.

  3. Scroll down to the "Notes & Communications" section on their profile

  4. Click the "Add Record" option next to the section heading.

  5. Enter the note in the text box

  6. Choose whether the record is for "Office Only" which will only allow the company admin and staff users to view the record, or for "Office & Teachers" which also allows teachers to view the record.

  7. Submit the form to save your changes.

Family

  1. Click on "Students" and then click on "Families".

  2. View the family's profile by clicking on the "First Name" or "Last Name" column.

  3. Scroll down to the "Notes & Communications" section on their profile.

  4. Click the "Add Record" option next to the section heading.

  5. Enter the note in the text box.

  6. Choose whether the record is for "Office Only" which will only allow the company admin and staff users to view the record, or for "Office & Teachers" which also allows teachers to view the record.

  7. Submit the form to save your changes.

The record will now be added to the Note & Communications section on the profile. Users with the ability to manage notes will be able to edit or delete notes using the links in the note row.

Editing a Record

A record can be edited by clicking the "Edit" icon next to the record and making your changes. Teachers can only edit records that they've added.

Deleting a Record

A record can be deleted by clicking the "Delete" icon next to the record and then confirming the deletion in the pop-up. Teachers can only delete records that they've added.

Viewing Profile Notes

You can view all of the profile notes you have added to your family or student profiles by using one of the methods below:

Student Table

  1. Click on "Students" and then click on "Student List".

  2. In the sidebar on the right side, click on "Profile Notes".

  3. You can use the "Search" field on the right hand side to filter notes for a specific student.

Family Table

  1. Click on "Students" and then click on "Families".

  2. In the sidebar on the right side, click on "Profile Notes".

  3. You can use the "Search" field on the right hand side to filter notes for a specific family.

Dashboard

  1. Click on "Account & Settings".

  2. Click on "Dashboard Settings".

  3. Enable the "Profile Notes" Widget.

NOTE: When a profile note is marked as "Read" in the Dashboard widget, it will clear the note from the widget for your account only. Other users with access to the Profile Notes dashboard widget will still see the profile note until they mark it as "Read" themselves.
