2-Way Sync for Google Calendar - Employee Instructions

If your company has enabled the 2-Way Sync for Google Calendar Add-on, employees can connect their Google Calendar to their Teachworks account and sync events in both directions.

Connecting to your Google Calendar

Teachers and Administrative Staff employees can connect their Teachworks account to their Google Calendar by following the steps below:

  1. View the Main Calendar by clicking on "Calendar" in the navigation menu and then selecting "Main Calendar".

  2. Click on the "Connect Google Calendar" button on the right-hand side of the calendar.

  3. Login to the email address associated with the Google Calendar you'd like to connect.

  4. Click on "Continue" to connect Google Calendar with your Teachworks account

  5. Check the checkbox so Teachworks can access the events on all of your calendars and then confirm access to your Google Calendar.

  6. You will now be redirected back to Teachworks. You can confirm you are connected to Google Calendar as there will be a green "Google Calendar Connected" icon at the top-right of the calendar.

  7. An email will be sent to the email address that you used to connect Teachworks and Google Calendar with the subject: "Accept your invitation to join shared calendar: "Teachworks - Employee Name".

  8. Click on the "Join Shared Calendar" link in this email in order to have your Teachworks events displayed in your Google Calendar.

  9. Your Teachworks account and Google Calendar will now be connected and sync in real-time.

​Usage

Once your Teachworks account and Google Calendar are connected, all of the lessons from Teachworks will appear in Google Calendar and all of the events from Google Calendar will appear in Teachworks.

NOTE: Google Event details will not be visible to the company administrator or administrative staff when viewing an employee's calendar, they will only see a general event name such as "Unavailable". The email address for your connected calendar will also be hidden from the Administrator so they won't be able to see it.

NOTE: The color of the Google Events in your Teachworks Calendar is controlled by the company administrator.

Adding New Lessons and Events

When scheduling a new lesson in your Teachworks Calendar, it will appear instantly in Google Calendar with all of the details, including any location links that have been added.

NOTE: Repeating events scheduled in Google Calendar will be synced up to 1 year in the future in Teachworks on a rolling 12 months.

When you schedule a new event in Google Calendar, it will be instantly added to your Teachworks account.

NOTE: To view the new Google events on your Teachworks Calendar, you will need to refresh your browser (or navigate away and back to the calendar page).

Editing Lessons and Events

The lessons on your Teachworks Calendar and events in your Google Calendar that appear on the other system's calendar are read-only and cannot be changed directly.

This means to edit an event, you must make the change in its original calendar.

  • Edit or Complete Teachworks lessons in Teachworks.

  • Edit Google Calendar events in Google Calendar.

NOTE: You can't edit lessons from Teachworks in Google Calendar and you can't edit Google Events in Teachworks.

Notifications

Teachworks does not send a separate notification for synced events. To receive reminders for your Teachworks lessons in Google Calendar, you must set up "Default event reminders" directly within your Google Calendar settings.

By configuring your default reminders in Google Calendar, any new event added (including those synced from Teachworks) will automatically use your preferred reminder settings (e.g., "Notification 15 minutes before"). This ensures you are notified of upcoming sessions without needing to add reminders manually.

Employee Availability

All events synced from Google Calendar will automatically block off the corresponding availability in Teachworks.

Disconnecting from Google Calendar

If you would like to disconnect your Google Calendar from your Teachworks account, you can follow the steps below:

  1. Login to your Teachworks account.

  2. Click on "Profile" in the navigation menu.

  3. Scroll down to the "Connected Calendar" section.

  4. Click on the "Disconnect" button.
