Converting Independent Students to Family & Child Profiles

Written by Teachworks Support

If you've added students as Independent Students and have determined that they should be Child Students that belong to a Family it is possible to convert them.

Converting the independent student will create the following records:

  1. A family profile that has all of the invoices, payments, and other records that were associated with the independent student.

  2. A child student that belongs to the family and has all of the lessons that were associated with the independent student.

Enabling the Add-on

  1. Click on "Account" and then click on "Integrations & Add-ons".

  2. Use the "Search" field at the top and enter "Independent Student Conversion".

  3. Switch the toggle to "On" to enable the add-on.

Converting Independent Students

Complete the following steps to convert an independent student:

  1. Click on "Students" and then click on "Students".

  2. Click on the "More" button and click the "Convert Independents" option.

  3. Select students that you want to convert by checking the boxes next to their names.

  4. Click the "Convert Independents" button at the top of the table.

  5. Select the option for handling user accounts. If the student currently has a user account, you can choose to associate the user account on the child student profile or the family profile.

  6. Click on "Convert" to confirm the conversion. If you will be converting more students you can click the "Convert & Select More" button.

NOTE: This action is permanent and cannot be undone.

Once converted, each student is moved to a new family profile. You will need to perform the following clean-up:

  • Update Details: Open the newly created family profiles to update the family name and contact information.

  • Consolidate (Optional): If you prefer to move a student to an existing family instead of the new one:

    1. Edit the new child student's profile.

    2. Change the Family field to the existing family.

    3. Return to the now-empty "converted" family profile and mark it as Inactive or delete it entirely.

NOTE: This can only be done from the administrator account.
