For students who follow a regular, recurring schedule, you can book multiple lessons simultaneously instead of scheduling each one individually.
How to Create a Repeating Series
Step 1: Open the Add Lesson Form
Open the "Add Lesson" form using whichever method you prefer:
From the Navigation Menu: Click on Calendar and then click on Add Lesson.
From the Calendar: Click directly onto any date or timeslot on any calendar view.
Step 2: Configure the Repeat Settings
Fill out the standard details like Student, Teacher, Location and Service. (If you are unfamiliar with these fields, see our Adding Lessons article).
Switch the Repeat toggle to "On" at the bottom of the form.
This will instantly open the Repeat Settings window.
Choose your repeat frequency (Daily, Weekly, or Monthly) and enter an End Date.
Click Submit to save the repeat settings.
Submit the form to schedule the entire series on your calendar.
Repeat Frequency Options
Teachworks allows you to customize your recurrence pattern using three primary intervals. You can see how each option looks in the interface below:
Daily
Use this option for short-term courses, consecutive daily bootcamps, or consecutive holiday workshops.
Weekly
This is the most commonly used setting. Use it for standard ongoing lessons that happen on the same day or multiple days every week (e.g., every Tuesday and Thursday). You can also set it to skip weeks (e.g., every 2 weeks for bi-weekly lessons).
Monthly
Use this for recurring monthly workshops, generalized monthly check-ins, or tuition milestones that occur on a specific date or specific day of the month (e.g., the first Monday of every month).
Updating an Entire Repeating Series
If you need to make a structural change across an entire recurring schedule, such as changing the start/end times, moving the class to a new location, or assigning a different teacher, you can update the whole series at once by following the steps below:
Locate the series on your Calendar.
Click on the first lesson in the series and click on the "Edit" option in the pop-up.
Make your necessary modifications (e.g., select a new teacher, update the room location, or adjust the times).
Scroll to the very bottom of the form to find the "Apply To" section.
Select the "Current & Future Lessons" option.
Submit the form to save your changes.
NOTE: If you select a lesson in the middle of a series and choose Current & Future Lessons, any lessons that occurred before that date will remain unchanged on your calendar. To make sure you are updating the entire series from start to finish, always start by editing the very first lesson.
Extending a Repeating Series of Lessons
When a recurring schedule is coming to an end, you can extend it further into the future using one of three methods. Choose the approach that best fits your workflow:
Method 1: Edit the Last Lesson
Use this method to seamlessly push the end date of your current series further out:
Navigate to your Calendar and find the very last lesson currently scheduled in the series.
Click on it and select the "Edit" option in the pop-up.
Open the Repeat Settings window by clicking on the "Edit" button.
Extend the "Ends On Date" field as far forward as needed.
Submit the form to save your new Repeat Settings.
In the "Apply To" section at the bottom of the form, choose "Current & Future Lessons".
Click Submit to save your changes and extend the series.
Method 2: Use the Copy Feature
Use this method if you want to leave the existing series exactly as it is and start a completely fresh, separate chain of recurring lessons.
Click on the last lesson of your current series.
Click the Copy button in the pop-up window.
Switch the Repeat toggle to "On" to open the Repeat Settings.
Set your new start date, recurrence pattern, and the new end date.
Submit the form to save your Repeat Settings.
Submit the for again to create the new series.
Method 3: Set the Series to Repeat Indefinitely
If you never want to manually extend this schedule again, you can set the series to be ongoing.
Navigate to your Calendar and find the very last lesson currently scheduled in the series.
Click on it and select the "Edit" option in the pop-up.
Open the Repeat Settings window by clicking on the "Edit" button.
Set the "Repeat Ends" field to "Never".
Submit the form to save your new Repeat Settings.
In the "Apply To" section at the bottom of the form, choose "Current & Future Lessons".
Click Submit to save your changes and extend the series.
NOTE: The system will now automatically manage this schedule using a rolling 13-month window, extending it by one month, every month.
When to Segregate Lessons
If you need to make an exception or a one-off change to a single lesson within a repeating series, such as assigning a substitute teacher for one day or adjusting the time for a single week, you should segregate that lesson.
Segregating breaks the lesson out of the recurring chain, turning it into an independent event. You can follow the steps below to segregate a lesson:
Click on the specific lesson you want to change on your Calendar
Click on the "Edit" button in the pop-up.
Make your necessary modifications (e.g., change the teacher, room, or time).
Scroll down to the "Apply To" section at the bottom of the form.
Select the option: "Segregate this lesson to prevent future changes to the series from being applied to this lesson."
Click Submit to save.
