Teachworks supports a number of different billing methods. Use the Flat Fee billing method if you charge clients a fixed rate regardless of how many lessons they attend over a specific timeframe.
When to Use
Subscription models: e.g., Charging $200/month for unlimited sessions.
Term-based programs: e.g., Charging a flat $600 per semester or camp.
Fixed monthly tuition: Charging a consistent monthly baseline fee.
How It Works & Why Lessons Show as $0.00
The Invoice: The client is billed a flat rate upfront for the designated billing cycle (term, month, or custom period).
The Calendar: When individual lessons are scheduled on the calendar, Teachworks automatically zeroes out the lesson cost, displaying it as $0.00.
NOTE: Because the client is already billed a single flat amount on their main invoice, setting individual calendar lessons to $0.00 ensures they are not accidentally charged a second time for their lessons.
Using the Flat Fee Billing Method
In order to use the Flat Fee billing method, you need to set the “Billing Method” on the student’s profile to “Charge Flat Fee” by following the steps below:
Click on "Students" and then click on "Students".
Click on the "Edit" button next to the student you'd like to change to Flat Fee billing.
Click on the "Billing" tab.
Scroll down to the "Billing Details" section.
Set the "Billing Method" field to "Charge Flat Fee".
Submit the form to save your changes.
When generating an invoice for a customer, you'll need to ensure you use the “Add Charge” option in the invoice items section. You can then enter the details about the charge, such as a description, the amount and quantity.
Subscription Billing (Recurring Flat Fee)
If you charge your clients using a subscription billing model, you can use our Invoice Autopilot Add-On. To create subscriptions, you can an invoice autopilot schedule which will automatically generate invoices on a recurring schedule you select and will include the charge(s) you add to the invoices.
