Creating Jobs and Openings in Ashby

Automatically create a job req in draft mode in Ashby from a headcount in TeamOhana

Once a headcount is ready to hire, TeamOhana can automatically create job reqs and openings in Ashby. This ensures the hiring status and offer details are updated in TeamOhana. Budgets and forecasts will be accurate and the hiring plan status is available in real-time for all stakeholders.

Note: Avoid manually creating openings and reqs in Ashby if your organization is using the Ashby integration.

How job reqs and openings work in Ashby

In Ashby openings are used to manage multiple open positions for the same job req, i.e. you're hiring three engineers and the job description and details are the same for these three open positions.

Creating a new job req is recommended whenever you want a separate candidate funnel. Ask you Ashby rep for more details.

Let's look at two scenarios.

Scenario 1:

You are hiring five Account Executives with the same job description and in the same location. This will be one job req with five openings - one for each of the open positions to be filled.

Scenario 2:

You're hiring three Account Executives in the US and two Account Executives in the EU. You will create two job reqs. One job req with two openings for the US and another job req with three openings for the EU positions. This will give you two separate candidate funnels for the US and EU positions.

In both of these scenarios you will be using the following two workflows to setup the jobs and openings in Ashby:

New job req and new opening

If this is a brand new job req and the first opening for this job req, you'll be creating a job req and opening from TeamOhana.

From headcount details or the recruiter workboard click + Link job and select create job in Ashby.

You can edit the details or create the job req as-is. Click Create job and the job will be created in draft mode in Ashby.


Once you've created the job req you'll be prompted to create the opening. Opening is required to auto-link your offers from Ashby to TeamOhana.

Note: Best practice is to create an opening for every job req, even if the job req has only one open position.

Fill out the required details and save. The job req is created in draft state. Complete your workflow in Ashby to publish and post the job.

Hiring status and offer status will be automatically updated in TeamOhana.


For each additional opening, follow the steps outlined in New opening for an existing job req

Click + Link job and select the existing job req from the drop-down menu.


After linking to the existing job req click "Create opening in Ashby".


From the drawer, opening details can be updated before clicking Create opening.

Fill out the required details and save. The job req is created in draft state. Complete your workflow in Ashby to publish and post the job.

Hiring status and offer status will be automatically updated in TeamOhana.
