How to ensure that formerly terminated employees are properly reconciled in TeamOhana

When a former employee is rehired by your organization, there will be some reconciliation in TeamOhana required to ensure that there are no duplicate employee records.

There are two possible workflows here, depending on when the employee was originally hired.

If the employee was originally hired before TeamOhana was in use at your organization:

  1. Navigate to your Headcount page in TeamOhana and update the "Time" filter to the year or month during which the employee terminated

  2. Scroll all the way to the right side of the table, to the "Headcount ID" column. The data in the cell will read "NA."

  3. Click the check box to the left of the employee's name, then scroll back up to the top of the headcount table to the blue bar that says "1 headcount selected." Click the three dots on the far right of the bar and select "Undo Hired outside TeamOhana."

  4. The employee will now appear under the "Unclaimed" tab within the Headcount page. Locate them there, then select the role that they are filling from the dropdown menu in the "Link headcount" column.

If the employee was originally hired after TeamOhana was implemented:

  1. Navigate to your Headcount page in TeamOhana and update the "Time" filter to the year or month during which the employee terminated

  2. Find the employee's name, then click it to open the drawer on the right side of the screen.

  3. From the drawer, click "internal transfer" to initiate the update. Select the headcount that they were re-hired for, enter in the other relevant details, then click confirm.
