How to request new headcount in Teamohana

Any user with the permission to request new headcount can do so from the Home page, by clicking the orange Create button in the top right corner and selecting Headcount.

Upon selecting the Headcount option, a drawer will open on the right side of your screen with required and optional fields for your new request.

Note: if the request has not been budgeted for, make sure you enable the toggle below "is unplanned?" before clicking "next."

On the next page, you'll be able to review the the approval chain for your request as well as the impact it will have if approved on your department's fiscal year headcount budget (permissions-permitting.)

Click "Request approval" to send your request up the approval chain.


Access your pending requests

Once your request has been submitted, it can be found in the Requests widget of your home page.

Clicking the Expand arrows in the top right corner of the widget will take you to a full page view of requests that you can filter by status: Draft, In approval, Change requests, Denied and Archived. You can also create new requests from this page.

'Request approval' permission

If a user has the permission to create a headcount request without the ability to request approval, they will only be able to generate drafts and another user must submit requests on their behalf. Those users will also not be able to view the approval chain for their draft requests.

Updates can occur to requests that are mid-approval

When a headcount request is in flight, approvers can make changes to basic details without triggering re-approval. The requestor can also make a change to the basic details while the headcount is in-approval, but if the change is budget-impacting, the request will start at the beginning of the approval chain.

With these updates, it's now easier than ever for budget owners to ensure that all requests are complete and compliant, and for users making headcount requests to see the budget impact that their request will have once it's approved.
