To get the most value out of the integration between Greenhouse and TeamOhana, there are some best practices we recommend:
Use Openings and Opening IDs
Each job has a unique Requisition ID. Additionally, a job can have multiple openings, and each opening can have an Opening ID. For example, you have one job open for a Customer Support Specialist, and you plan to hire three people for this role. The role, Customer Support Specialist, will only have one Req ID, however, each opening can have a unique Opening ID. In this case, there is one Req ID and three Opening IDs with their own unique open and close date. See more information about requisitions and openings in Greenhouse's support center here.
Whether you are creating a job for an evergreen role, or a job for a one-time hire, we strongly suggest using openings and opening IDs.
Make Openings mandatory
As a Site admin in Greenhouse, you will have the ability to make "Opening ID" a mandatory field when jobs are created. To do this:
1) Click the Settings/Configure icon on the navigation bar, then select Permission Policies on the left
2) Under the Jobs section, check the permission "Make 'Opening ID' a required field"
Going forward, all jobs that are created in Greenhouse will also require an opening ID. To apply openings to jobs that are already open, follow the instructions in this step-by-step guide.
When linking jobs from Greenhouse with headcount in TeamOhana, always link the Opening ID as well
Openings and offers have a 1:1 relationship, which means that when openings are linked to a headcount in TeamOhana, the system will be able to automatically detect when an offer has been sent to, and accepted by, a candidate, and will pull in the offer details so they don't need to be manually added or shared. As a best practice, always link the opening AND the job with the headcount in TeamOhana. Check out this best practice article to learn more.
Only enter numerical data into the compensation fields of your offers, and always include the currency
Even if you are only hiring in one country, it's essential that you include a currency field in your offers so that we can pull your offer data into TeamOhana. For your compensation fields, do not include free text - enter the compensation value only.
