Best Practices for using Ashby with TeamOhana

In order to leverage the Ashby integration with TeamOhana properly and in a way that delivers the most value, there are some best practices we recommend.

  1. Use Openings

    Openings allow you to ensure that hiring only happens against approved headcount. To that end you should follow these best practices:

    • When you are actively hiring for a job, it should be linked to at least one approved opening.

    • Whenever you make a hire, it should be linked to an approved opening (and if you enable Strict Mode Ashby will require this).

    • Ashby allows you to input openings ahead of opening the corresponding jobs (often you know you want to hire for a certain role, but it’s far enough out that you don’t have a job description yet and haven’t completed an intake meeting).

    An opening should be marked as Open as soon as you actively start hiring for it.

    Whether you are creating a job for an evergreen role, or a job for a one-time hire, we strongly suggest using openings and opening IDs.

  2. Make Openings mandatory

As an admin in Ashby, you will have the ability to make Openings mandatory.

Navigate to Admin > Openings, then locate the "Strict Mode" toggle. Enable the toggle; this will require that openings are linked every time a new job is created in Ashby.

3. When linking jobs from Ashby with headcount in TeamOhana, always link the Opening as well

Openings and offers have a 1:1 relationship, which means that when openings are linked to a headcount in TeamOhana, the system will be able to automatically detect when an offer has been sent to, and accepted by, a candidate, and will pull in the offer details so they don't need to be manually added or shared. As a best practice, always link the opening AND the job with the headcount in TeamOhana. Check out this best practice article to learn more.

4. Only enter numerical data into the compensation fields of your offers, and always include the currency
Even if you are only hiring in one country, it's essential that you include a currency field in your offers so that we can pull your offer data into TeamOhana.
