Why we built this

The change report in TeamOhana provides a summary of changes to both employee and headcount records over a specified date range. The report allows users to easily see what has been added, changed, archived or terminated during that time period, and to see all of those changes at once rather than one at a time.

The change report also makes it easy for Finance, HR and other teams to reconcile changes in TeamOhana with their own systems on a regular basis.

How the change report works

Change reports have three main categories for each record type (headcounts and employees):

  • New - Any records created during the date range. For employees, this means their start date falls within the range. For headcount, it means their creation date falls within the specified date range

  • Archived/Terminated - Any records with an archive or termination date within the range.

  • Changed - Any records where one or more fields were updated. On the change report, only the changed fields will be populated

The report shows the record ID/name, change status, and details of any new or changed fields to help the user understand specifically what has been updated.

Note: for employee changes, when retroactive changes are made to HRIS records within the specified time range, they will appear on the change report even if the effective date is outside the date window.

How to export a Change Report

To generate a change report:

  1. Go to Headcount > Export > Export Change Report

  2. Select a start and end date (note that the maximum amount of time for which you can generate a change report is 3.5 months)

  3. Choose to include Headcounts, Employees or both

  4. Click Export

An email will be sent to the user with a downloadable sheet detailing all changes within that period within 5 minutes.
