The Comp Cycle module in TeamOhana enables managers to review their direct reports' compensation and make a recommendation based on their performance rating, date of last raise, and other factors.

Merit cycle setup

Before the merit cycle begins, an admin will set up the cycle criteria in TeamOhana, including:

  • Eligible employees

  • Performance ratings for those employees

  • Compensation benchmarks and current compa-ratio for each employee

  • Approval flows for each merit recommendation

  • Deadlines for reviews

  • Deadlines for approvals

  • Effective date of merit increases

  • Merit increase guidelines

Once the admins launch the cycle, all managers with eligible employees will be invited to log into TeamOhana, review their direct reports, and make recommendations for merit increases. After they've made their recommendations, they'll submit them for approval.

Approving merit increases

Approvers will receive notifications when there are merit recommendations requiring their approval. They'll access their pending recommendations by navigating to the Comp Cycle icon from their main menu, then clicking "My approvals."

The recommendations will be grouped by reviewer and will be expandable/collapsible.

Approvers can leave comments by clicking on the speech bubble icon to the left of each employee's name. Similarly to the comment capability in other parts of the TeamOhana platform, users can @mention one another to leave personalized messages.

If an approver needs to make an adjustment to a pending review, they can do so before sending the review to the next layer in the approval chain.

Once they have reviewed all merit recommendations, the approver can either approve or deny the them. When recommendations are denied, they are sent back to the reviewer to be adjusted and resubmitted.

At the conclusion of the comp cycle, the admins will receive a report with all merit adjustments to upload into the HRIS by the comp cycle effective date.
