How to automate job and requisition creation in Lever from headcount in TeamOhana

Overview

Once a headcount is ready to hire, TeamOhana can automatically create jobs and requisitions in Lever. This ensures the hiring status and offer details are updated in TeamOhana. Budgets and forecasts will be accurate and the hiring plan status is available in real-time for all stakeholders.

Use case 1: New job and new requisition

If this is a brand new job posting and its first requisition, you'll be creating a job and requisition from TeamOhana.

From headcount details or the Recruiting Workboard click + Link job and select create posting in Lever.

A panel will open on the right side of the screen that contains job details fields, including Job title, Location type, Location, Department and Worker type. Each of these fields is required. Job title will autofill based on the name of the headcount in TeamOhana, and Location, Department, and Worker type are dropdown menus that contain the same information from your Lever account.

Once you click “Create job” your headcount will update to “in progress” and you will be taken to a new panel where you can create a requisition.

The requisition creation panel also contains a number of required fields, such as Requisition name and code, Headcount, Location, Department and Worker type.

  • It is a best practice to input “1” into the Headcount field, then create new requisitions every time you want to add an opening to this job posting.

  • Requisition code will autofill with the headcount ID from TeamOhana

  • Location, Department, and Worker type will carry over from the job creation form

After you click “Create requisition” both the job name and the requisition code will be linked to the headcount and all future offers created against this requisition will be pulled into the headcount in TeamOhana

The job posting will be created in Lever as a draft and will need to be manually set live within the Lever system.


Use case 2: Adding a new requisition to an existing job

In the case that you would like to create a new requisition for a job that already exists in Lever, you are able to do this from TeamOhana’s Recruiting Workboard or headcount details page

On the Recruiting Workboard, scroll to the Job ID column and link the job posting to the headcount. If there are no requisitions available, you’ll have the option to “Create requisition in Lever”

  • Note: this step can take place from the Headcount details page as well. Click on the Hiring Details tab, link the job posting, then click “Create requisition in Lever”

The Create requisition panel will open on the right side of your screen, asking you to complete fields for Requisition name and code, Headcount, Location, Department and Worker type.

  • It is a best practice to input “1” into the Headcount field, then create new requisitions every time you want to add an opening to this job posting.

  • Requisition code will autofill with the headcount ID from TeamOhana

  • Unlike the Create job + requisition flow, Location, Department, and Worker type will not autofill and must be entered manually

After you click “Create requisition” both the job name and the requisition code will be linked to the headcount and all future offers created against this requisition will be pulled into the headcount in TeamOhana
