Using "Ready to hire" as a second approval layer

Once a headcount is approved (either by the approval chain as a one-off request, or through the merging of a Scenario with the hiring plan) it will land on the hiring plan with the "Not started" status. The headcount must be marked as "ready to hire" before it can be linked with a job/opening in the ATS.

Because of this, the "ready to hire" process can be used as a second layer of approval before hiring officially begins.

Follow the steps below to implement a process by which hiring can be unlocked using "ready to hire."

1. When hiring managers want to begin hiring, they will locate the headcount on the Hiring Tracker and enable “Ready to hire.” (Note: the permission to enable “ready to hire” is configurable by user role.)

2. The Talent leader will receive a notification letting them know that the headcount has been marked ‘ready to hire.’

3. The Talent leader will then open the headcount details from the Recruiting Workboard and leave a comment, @mentioning the department head, the Finance team, or any other internal stakeholders who need to be notified that the hiring manager has requested to start the hiring process.

4. The user(s) who have been mentioned in the comment will receive a notification to their email and over Slack, and will be able to navigate to the headcount directly from the notification.

5. The internal stakeholders who are providing their assessment will reply to the Talent leader in the Comments section of the headcount, approving or denying the 'ready to hire' request.

  • If the 'ready to hire' request is approved, the Talent leader can proceed by either opening the requisition in the ATS and linking it to the headcount, or assigning the headcount to a recruiter and requesting that the recruiter open and link the req in the ATS. Once the req is linked, the headcount will move the "In progress."

  • If the 'ready to hire' request is denied, the Talent leader will toggle "ready to hire" off, moving the headcount back to the "Not started" status.
