Custom fields for Headcount, Employee, and Offers are now available!

Admins can now create custom fields for their headcount, employee records, and offer details based on their preferences. Customize what additional information is beneficial for your headcount and budget management, so you can continue to have the most accurate information available to make informed decisions.

To add custom fields in your TeamOhana account, admins will navigate to Settings > Custom Fields. After clicking the “+Add field” button, you’ll be prompted to select which record you would like to add a custom field to: Headcount, Employee, or Offer.


HEADCOUNT:

For creating custom Headcount fields, you can choose what type of field you would like to add (as shown below) to your headcount creation form:

  • Long text: a longer-form, free text field that enables users to input information like an onboarding plan, the OKRs the hire is going to support, etc

  • Short text: a short-form, free text field to best capture small entries like capturing whether or not benefits are available for new hire

  • Single select: ability to single select from pre-templated form, like type of device for new hire

  • Multi select: multi select from pre-templated form, like company property

  • Currency: capture additional details that will impact overall budget for new hire, including items like travel allowance

  • Number: capture a numerical value needed for new hire, like years of experience

  • Date: capture relevant date details for new hire, like day of orientation

  • Boolean: toggle between two options to capture items like exempt/non-exempt

For example, if you were to select Currency -->

  • Admins would be able to add in details toward:

    • Field Name: what the field will be called on the headcount and headcount request form

    • Tooltip description: the text that appears when a user clicks the question mark next to the field name

    • Whether this custom field will be found in the Basic details section, the Compensation section, the Headcount details section, or the Hiring details section

    • Field permission controls: this controls which roles will have access to view and edit the field. Permissions set at the role level will override the field level permission

    • Required Field & Sensitive field toggles: determine whether the field is required and if it’s considered sensitive information

    • Set value details: determine if the field captures recurring or one time pay, and if it should be included in budget details and total comp

    • UI display: determine whether the custom field should be included as a column in the hiring plan and headcount ledger

  • Once the admin publishes the new custom field, it will immediately be available to all new and existing headcount details.

  • Focusing on our new custom field we created above, we opened a new headcount creation form and added a travel allowance of $10,000 with an annual salary of $88,000.

  • Once this new headcount is approved, you will be able to see the full breakdown as shown below.

  • As we indicated this custom field would be part of the total target comp, you would be able to see the breakdown when hovering over this field in your Hiring Tracker.


EMPLOYEE:

For creating custom Employee fields, you can do so by designating which field you would like to import in from your HRIS . In this example, we have selected Date of Birth, and labeled Field Name as "Birthday". As the image shows below, this field is not editable in TeamOhana and would be automatically pulled in from your selected field in your HRIS.

Admins would additionally be asked to fill in the field name, the tooltip description, and select the section, field permission, and whether or not the custom field on the employee object contains sensitive data.

This custom field is only able to be seen within additional details of the headcount details drawer for the employee.


OFFER:

For creating custom Offer fields, you can do so by designating which field you would like to import from your offer details in your ATS. The custom Offer field is not editable in TeamOhana and will be automatically pulled from data determined in your ATS.

Alike the other custom fields, admins will be prompted to enter in a field name, the tooltip description, and select the section, field permission, and whether or not the custom field on the employee object contains sensitive data.

As designed, you will be able to track this custom field within your Offer Details section in your hiring tracker and headcount.

For this example, we are looking to track sign-on bonuses assigned to the offer linked. Previously, a sign-on bonuses were not mapped in your hiring tracker but you will now be able to do so through custom Offer fields.
