Controlling the visibility settings of activities in Google Calendar

Surfboard directly integrates with Google Calendar to make it easy for your surfers to manage and view their schedule in their preferred tool.

As part of this, you can control the visibility settings of activities, allowing you to seamlessly share surfers availability (or unavailability) with other booking tools like Calendly or Hubspot.

For example: You probably don't want any live channel time to be overwritten by meetings, so you can set that as 'Busy'. But, you may allow meetings to be booked over project time, or a designated 'bookable time' activity, so you can set that as 'Free'.


Selecting activity visibility settings

  1. Go to the day view of the schedule

  2. Open the toolbar and select the activity you want to edit, or create a new one

  3. Under 'set calendar event visibility' you can choose from:

    1. Busy: time scheduled on this activity will show as 'unavailable' time in linked calendars.

    2. Free: time scheduled on this activity will show as 'available' time in linked calendars and can be booked by others.

πŸ’‘ Surfboard will automatically update published schedules when the visibility settings change. You don't need to republish.

πŸ’‘ Breaks are set to 'busy' by default. Shifts are set to 'free' by default.
