How to Add a New User

Need to give someone access to the platform? Follow these simple steps to add a new user from your company.

Step-by-step:

  1. Go to the Personnel tab
    Navigate to the top menu and click Personnel.

  2. Click “Add New User”
    You’ll see this button on the top right-hand side of the Personnel table page.

  3. Complete the user form
    Fill in the required fields in the Personal Information and Company Information sections.


What each section means:

Personal Information

  • Name / Surname / Email – Required for login and identification.

  • User Role – Determines what the user can see and do.

  • User Status

    • Active: can log in and use the platform according to their role and visibility settings.

    • Inactive: cannot log in and cannot be used anywhere on the platform. They cannot be associated with bookings, assets, or any operational activity.

  • Position – Enter the user’s job title or role within your organisation.

  • Employee Number

    • Used for internal reference and acts as the unique identifier for the user.

    • If the user does not have an employee number, select No Employee Number.
      The system will generate a temporary number in this format:

{Company Name}-TEMP-{auto-incrementing number}

  • Personnel Category - Classify the type of user.

    • Options include:

      Office, Instructor, Assistant Location Manager, Brand Director, Brand Manager, Central Services, Driver, Location Manager (used for Branch Managers), MHE Operator, Regional Director, Regional Manager, Transport Manager.

  • Employment Status – Choose from: Employed, Agency, Subcontracted, Not Employed.

Location

  • Assign the user to the correct Brand, Region, or Location.

  • If you select a Location Code, the other fields will autofill.

Access & Permissions

Visibility settings determine which records the user can access. These settings work alongside the user's role permissions.

Final Step: Click “Send Invitation”

Once all fields are filled out, click the Send Invitation button at the top right. The new user will receive an email to complete their setup.

⚠️ Note: If you select the No Access role, the person will not receive an invitation to the platform. This role is intended for Drivers or other personnel you want to manage or assign to bookings, but who won’t have login access.
