Integrate Teleo with your SimplePractice EHR

Add Teleo as an office location

Add Teleo as an additional office location in SimplePractice so that you can easily add your Teleo waiting room link to your automatic appointment reminder emails.

Steps

1. In SimplePractice, Create a new office location for Teleo.

a. Go to Settings

b. Select: “Practice details”

c. Scroll down to Office location and click “Add a location”

d. Name the location "Teleo"

e. Add your waiting room link as the first line of the address field

f. The second line of the address requires a state and zip, but you can change the city to whatever you'd like, such as, “click the above link to join your session”

g. Save the “Insurance Place of Service Code” as “10-Telehealth Provided in Patient's Home,” which will make sure your documents, such as superbills and insurance claims, reflect the correct Telehealth code.


2. Update the Client Billing address for insurance forms

a. From the Practice details page scroll down to the bottom until you reach Billing addresses

b. So that you can be sure client-facing billing documents and insurance claims have the correct address listed for Teleo sessions, you'll want to edit the Client Billing address to reflect the correct address you'd like to show on forms.

c. After clicking Edit, you'll want to select Enter a different location from the drop down menu and enter the desired Client Billing address. Be sure to hit SAVE once you're finished!

3. When scheduling client sessions in SimplePractice, assign their location as Teleo​

4. The appointment reminder email from SimplePractice automatically populates the Teleo link in the address field.

You can further edit your appointment reminders by going to Settings > Client Notifications

💡Remember

SimplePractice only lets you have two email reminder templates:
1) a Simple Practice specific telehealth reminder and
2) a reminder for all other offices, which includes your new Teleo location

When making changes to your reminder templates, keep in mind the impact of your reminders on your other offices, if applicable.


Here is how my appointment reminder will look:

Fully Remote Practices

Fully remote practices that do not have any other offices in addition to SimplePractice Telehealth and Teleo, may not need the address macro in their automatic emails. You may want to edit your automatic reminder emails further, so that they just list the link to Teleo without the address format.

Hybrid Practices

Hybrid practices with in-person offices should not delete the address macro in their reminder email template. Doing so would also delete the address field for their in-person clients’ reminder emails.

Hybrid Practices can still link to your Teleo waiting room by inputting your Teleo link as your Teleo office address in location settings (listed in the step-by-step instructions above).
