A 'Booking' is a confirmation of an order from a grower to a retailer. After a plan is created and scenarios are compared, a booking is generated to organize which components of a plan and/or scenario will be used to confirm the purchase of product, seed and/or services from the grower.
Creating a Booking
After building out a scenario, select 'Bookings'.
Next, select 'Create Bookings' in the bottom right-hand corner.
3. A new window will be displayed. Start by entering a 'Valid Until' date. This date should represent how long the pricing within the booking is good for. For example, if it's an early order program, enter the end date for the early order program.
4. Next, select the 'Select Scenarios" option in the left-hand column.
5. Once the scenarios load, select the scenario which will be used for the booking by selecting the checkmark.
6. Next, select the 'Plantings' option. The seed information from the plans within the scenarios will be displayed. Select the seed that will be booked. If there are different seed varieties within the different plans that make up the scenario, use the arrow icon to scroll through and select all the varieties that should be part of the booking.
7. Then enter the Unit Size. From there, the system will calculate the total seed that will be used as well as the total cost.
8. Next, select 'Nutrient' to select which nutrients within the plans will be booked.
9. The order volume, cost, and total cost will be displayed. Adjust any values as necessary. A common use case may be to adjust pricing for an early order program and to show a grower what they can save by booking products and seed early.
10. Use the Order Volume units section to change a product from lbs to tons when ordering.
11. Now select 'Crop Protection' and select which products will need to be added to the booking. Remember, use the arrow icon to scroll through each product and select each product that is needed for the booking.
12. Be sure to repeat the same steps for services.
13. Next, select 'services' to select which services within the plans will be booked.
14. Once each section is complete, select 'Save' or 'Save and Print' to review the booking.
Editing a Booking
After a booking is created, line items will display within the Bookings view.
Select the pencil icon next to any item to edit the information.
Toggle an item as "Committed" to denote which line items a grower is agreeing to and which are still undecided. The graphs along the right-hand side will update to show a breakdown of committed vs uncommitted items.
Use the checkboxes to the far left to select a line item and use the option in the lower right to print.
To delete a booking item, select the line item, then select the arrow in the bottom right corner and select 'Delete Selected'.
Printing a Booking
Select the line items that should be included in the bookings printable.
2. After selecting the print button, a new window will display.
A. Valid Until - Enter the date that will be the "expire" date of the booking contract.
B. Comments - Enter in any comments that should be displayed on the printable.
C. Signature Line on every page - select the checkbox to include a signature line on each page.
