Creating and Managing Corrective Actions in TELUS Food Safety & Quality (TFSQ)
Overview
This guide explains how to create and manage corrective actions in TELUS Food Safety & Quality (TFSQ) when quality control checks do not meet expected standards. It covers setting up bespoke corrective actions, configuring notifications, and managing deadlines.
Creating Bespoke Corrective Actions
TELUS Food Safety & Quality (TFSQ) allows users to create bespoke corrective actions that can be automatically generated or chosen from a list when completing quality control checks. This feature is particularly useful when the required action is predictable and consistent across multiple corrective actions, reducing duplication and repetitive data entry.
To create a bespoke corrective action, start by giving it a name. The person creating the action type needs to specify whether it should be mandatory, define the default reason, and most importantly, describe the default action. After verifying the details, click save to add the new corrective action type.
Editing Corrective Action Details
Once a corrective action has been added, you can edit its details by clicking on the pencil icon to the left of the new type. The screen will refresh, allowing you to scroll down and add levels. It's important to note that multiple levels can be added to a corrective action.
Configuring Notifications
When setting up notifications for corrective actions, you'll need to consider the sort order, which relates to the sequence in which notifications will trigger. You must also select who will receive the notification email. This can be a notification group, a specific user, or the supplier related to the quality control check.
You have the option to set up reminder emails for outstanding corrective actions as their deadlines approach. Additionally, you can configure alerts for corrective actions that remain unresolved after their deadlines have passed.
Setting Deadlines
The deadline interval requires a numeric value and is directly related to the interval unit. For example, entering "1" in the deadline interval field and selecting "day" as the interval unit would set the corrective action's deadline to 24 hours after it is raised.
Using Multiple Notification Levels
Multiple notification levels can be particularly helpful in escalating unresolved issues. For instance, you might initially notify the owner of the corrective action. If it remains outstanding for more than a day, you may want to notify their manager. This tiered approach ensures that issues are addressed promptly and escalated when necessary.
Finalizing the Corrective Action Setup
After entering all the required information, including notification levels and deadlines, click the update button to save your changes. Your bespoke corrective action is now set up and ready to use in TELUS Food Safety & Quality (TFSQ).
By utilizing these features, you can streamline your quality control processes, ensure timely responses to issues, and maintain high standards across your operations.
