Forecast Downloads and Uploads (Advanced Forecasting Feature)

Quick Summary: Export forecasts to spreadsheets for offline review and bulk editing before uploading changes back into the app. Manage large-scale adjustments and integrate external planning data to update multiple items simultaneously.

Please note: This feature is only available in the advanced forecasting feature.

Accessing the Feature

To get started with multi-item adjustments, you need to navigate to the correct screen in the app:

  • Navigate to Forecasts screen > Summary panel > Adjust items (pencil) button. Remember to select a location from the top-right drop-down on the Forecasts screen before adjusting item forecasts.


Recommended Workflow

To effectively use this feature, follow these five steps in order:

  1. Download Items: Export a filtered list of items to a CSV file.

  2. Modify Forecasts: Make your desired changes to the forecast values in a spreadsheet application.

  3. Upload CSV: Upload the modified CSV file back into the app.

  4. Apply Changes: Review the changes, then apply and freeze them in the system.

  5. Re-Process Data: Perform a data re-process to ensure the new forecasts impact all calculations.


Step 1: Downloading Forecasts

The process begins with exporting the items you want to change.

  1. Navigate to the Forecasts screen > Summary panel > Adjust items button.


  2. Filter the item list as needed to narrow down your selection to a manageable subset of items.

  3. Click the Download button to export the displayed items to a CSV file.


Step 2: Editing Forecasts Offline

The downloaded CSV file is structured to facilitate easy editing in a spreadsheet program like Excel or Google Sheets.

  1. Open the CSV file. Each row represents a single item, and key forecast information is provided in the columns.

  2. The file contains the following monthly columns:

    • Hist: Your sales history.

    • Computer: The system's automatically generated forecast.

    • Final: The current active forecast, which may include previous manual adjustments.

    • Upload: The blank columns where you will enter your new forecast values.

  3. Enter your desired forecast values in the Upload columns for the relevant months. You only need to populate the months you wish to change.

  4. To revert a manual forecast to the computer-generated forecast, copy the values from the Computer columns to the Upload columns for the specific months.

  5. Important: You must retain Column A (which contains item identifiers) and all Upload columns. Removing these will cause the upload to fail.

💡 Pro Tip: The Manual FC column identifies forecasts that have been previously adjusted by a user.


Step 3: Uploading the CSV File

After you have completed your offline edits, you can upload the file to apply the changes.

  1. Click the Upload button in the app interface.

  2. Select Choose file and locate the saved CSV file on your computer.

  3. The upload will start automatically. Upon completion, a notification will indicate either a successful import or any processing errors.

  4. Click Reload now to refresh the page with the updated forecasts from your file. Adjusted forecasts will be highlighted in green.


Step 4: Applying and Freezing Changes

The changes you uploaded are not finalized until you click the Apply button.

  1. To discard changes before applying, click Undo.

  2. After reloading, adjusted forecasts will be highlighted in green.

  3. Clicking Apply saves the forecast modifications and freezes them, preventing them from being overwritten by subsequent system-generated forecasts. The red snowflake icon will appear.

  4. During this step, you can also add a comment that will be saved to the notes of all products with amended forecasts, which is useful for record-keeping.

  5. There is also an option to automatically unfreeze uploaded forecasts that now match the computer forecast, allowing future automatic adjustments.


Step 5: Data Re-Processing

For the new forecast adjustments to impact ordering, classification, and status calculations within the app, a final data re-process is required. This is the last step in the process.


⚠️ Watchouts

  • Risk of Overwriting: Uploaded forecasts will overwrite the system's calculated forecasts. If you want to protect certain items from being overwritten, ensure they are frozen before starting the upload.

  • Formatting Errors: Formatting issues in the spreadsheet (e.g., merged cells, hidden characters, incorrect headers) can cause the upload to fail. Always ensure your spreadsheet is clean and follows the required format.

  • No Rollback: Once the upload is complete, there is no automatic "undo" function. This is why keeping a pre-upload backup is a critical step.


💡 Tips

  • Use a Hybrid Approach: Use multi-item adjustments for simple changes and the download/upload feature for more complex ones.

  • Keep Backups: Always save a copy of the original spreadsheet before you make any edits. This provides a simple way to revert your changes if needed.

  • Document Everything: Use a consistent file naming convention (e.g., Forecast_Uplift_Promo_July2025.xlsx) and add notes within the spreadsheet to document the reason for the changes.
