Why the Orders Tab Matters
The Orders tab helps users understand order status and behaviour across sales orders, purchase orders, and supplier activity. It highlights exposure related to overdue orders, outstanding orders, and orders that may result in excess, helping users analyse order flow alongside current and future stock positions.
Key Performance Indicators and Metrics
The Orders tab includes the following KPI groups and measures.
Overdue Sales Orders
Orders: Count of overdue sales orders.
Value: Sum value of overdue sales orders.
Without PO: Count of overdue item codes or product codes without an open purchase order.
Open Sales Orders
Orders: Count of open sales orders.
Value: Sum value of open sales orders.
SO/Sales: Ratio of sales orders to sales. A high percentage indicates more sales orders than normal walk in sales.
Purchase Order History and Future
Orders: Sum value of historic purchase orders.
Overdue: Count of overdue purchase orders.
Overdue value: Sum value of overdue purchase orders.
Open Purchase Orders
Orders: Count of open purchase orders.
Count: Count of open purchase order lines.
Value: Sum value of open purchase orders.
Suppliers
Count: Count of suppliers with an open purchase order against them.
Overdue PO: Count of suppliers with an overdue purchase order against them.
Excess with POs: Count of item codes or product codes that currently have excess stock and an open purchase order for additional stock.
Surplus orders: Sum value of stock that will result in excess, should the open purchase order be received.
How To Use This Tab
Navigate to the Exec Dashboard from the main menu on the left.
Click the Orders tab.
Use the filters at the top-right to customize your view:
Location Dropdown: Select "All Locations," specific physical locations, or consolidated regions.
Group Dropdown: Filter by a specific item group, if this is enabled for your dashboard. This is only available if your standard dashboard is broken down by a group. If so, that group will be available for selection.
Timeframe Dropdown: Select the amount of history you wish to display (e.g., "6 Months"). The longer the time frame, the longer the dashboard will take to load.
⚠️ Watchouts
Hidden exposure: Items without a purchase order under Overdue Sales Orders may not have any incoming supply to resolve the overdue demand, which may lead to delays until a purchase order is created.
SO/Sales interpretation: A high SO/Sales percentage indicates that a large proportion of sales are tied to sales orders rather than walk-in sales, which may change how quickly sales are fulfilled.
Future order visibility: Projected PO reflects anticipated purchase order value for the next year, but these orders do not yet exist and therefore do not guarantee availability.
💡 Tips
Identify where immediate action is required: Use Overdue Sales Orders and Overdue Purchase Orders to locate which orders require follow-up or review first.
Check for potential excess: Use Excess with POs and Surplus orders to identify where incoming purchase orders may result in more stock than needed.
Review supplier-related delays: Look at Overdue PO counts per supplier to determine where overdue orders are associated with specific suppliers.
