How To: Use the Supplier Performance Feature

Purpose

This article explains how to access and use the Supplier Performance Feature to analyze supplier reliability and download detailed or summary purchase-order projections.


Step 1: Access the Supplier Performance Feature

  1. You can access the feature in two ways:

    • Navigate to the Suppliers screen and click the Supplier Performance button on the far right.

    • Or navigate to the Inquiry screen, open the Supplier Performance tab, and click the Overall Supplier Performance button on the far right.

  2. In the top right corner, select the region level you wish to display. Base locations are level zero. Any number above zero represents a regional view.


Step 2: Review the Stats Tab

  1. Open the Stats tab to see an overview of each supplier’s performance by location.

  2. This tab shows:
     • The number of products supplied to each location.
     • Total inventory value and the portion held in safety stock.
     • Reliability statistics for each location.
     • The value of orders that have been placed, are overdue or late, are in the pipeline, and are recommended into the future.

  3. Click any column header to sort the table by that column.


Step 3: Review the Historical POs Tab

  1. Open the Historical POs tab to view the value of purchase orders received by month for the last two years.

  2. Click Table to see a 12-month summary by location.


Step 4: Review the Overdue POs Tab

  1. Open the Overdue POs tab to view the value of purchase orders that have missed their due date and are late.

  2. Click Table to see a 12-month summary of overdue orders by location.


Step 5: Review the Open POs Tab

  1. Open the Open POs tab to view the value of purchase orders that have already been placed but not yet received.

  2. Click Table to see a 12-month summary of open purchase orders.

  3. Use this view to identify possible errors in due dates or lead-time settings that show deliveries arriving much later than expected.


Step 6: Review the Future POs Tab

  1. Open the Future POs tab to see projected purchase orders to be placed in the future based on order recommendations.

  2. Click Table to see a 12-month summary of these projections.

  3. This view shows how much you are likely to spend with each supplier over the next 12 months.


Step 7: Filter and Download Data

You can filter and download data from any purchase-order tab (Historical, Overdue, Open, or Future).

  1. Click Table on any PO tab to open the tabular view where filtering is available.

  2. Use the table controls:

    • Click a location to change the graphic to that selected location.

    • Click Total to change the graphic to the sum of all locations.

    • Click a row total to navigate to the reports for that location.

    • Click the overall total value to navigate to the reports for all locations.

  3. In the detailed reports, choose a format when prompted:

    • All orders: Shows products needing to be ordered, the delivery location, and order details including Order date, Due date, and Quantity to be ordered.

    • Summary by month: Shows a twelve month view of the order quantities required for each product in each location.

  4. Scroll to the bottom of the detail page to use the page numbers for paging through the detail.

  5. Use the download options on the detail page:

    • CSV download saves the detail as a CSV file on your computer.

    • Excel Download saves the detail as an Excel file.

      The downloaded detail includes purchase cost information.​


⚠️ Watchouts

  • Purchase cost information: When you download the “All Orders” report, the generated file includes purchase cost details. Ensure only authorized users access these files.

  • Location filters: When viewing a single location, confirm that the selected region or base level is correct before drawing conclusions from the data.


💡 Tips

  • Use the Future POs tab for forward planning: Review future order projections to assess upcoming supplier commitments and cash-flow impact.

  • Spot anomalies: Use the Open and Overdue PO views to identify data errors or suppliers that may require closer management.
