The Leads list has a column to help you spot potential duplicate Leads. If a Lead matches another Lead or Customer record, it will read 'Yes' under the Potential Duplicate column. The Potential Duplicate column helps flag potential duplicate Leads, Customers, and Sub-Contacts. The database looks for possible duplicates based on matching First & Last Name (both must match), Business name, Email, or full Address.
If your Lead is a potential duplicate, click the Lead's name to open their profile page. On the Lead profile page, click the 'Verify for Duplicates' button. This will open a list of the potential duplicate matches. You can click to open the matching customer or lead profile(s) if needed.
If the Lead is a duplicate, you can then decide what to do with it.
If it is a straight duplicate of an existing Lead or Customer (no new or different information tied to the lead), you might choose to delete the Lead. To Delete, click Edit on the Lead's profile, and the select Delete in the bottom-left of their profile.
If a Lead is related to an existing Customer (ie. like a spouse), or a duplicate record of an existing Customer, you can convert and merge the lead as a new contact or address under the existing Customer. (*Note You can't merge a Lead into another Lead. In that case, consider deleting the duplicate Lead)
If the Lead already has estimates tied to it, those estimates will not automatically be converted in the process. Instead, the estimates will also get merged and associated with the exsiting Customer profile.
If a Lead does not have any potential matches, the potential duplicate column will be blank. Also, the verify for duplicates button in their profile page will be greyed-out and unclickable (This is a visual cue that there are no matching duplicates). The verify for duplicates button is also greyed-out and unclickable if the lead is already converted.
