With BPro Payments, you can Void or Refund payments.
NOTE: If the jobs is Closed, you will need to first reopen it by toggling from closed back to open/complete status.
Void Payments
Credit, Debit, and Bank Transfer payments can be voided right away, before the payments have fully cleared. Voiding a payment cancels the FULL transaction.
Voiding a payment can be helpful if you ever make a mistake when accepting payment. You may have entered the wrong amount, charged the wrong card, or accepted payment on the wrong job. Voiding allows you to cancel the transaction immediately, instead of having to wait for the payment to clear and apply a refund.
In the Payments section of your job, you will see the payment history listed. Each payment displays a Refund and Void button. Click the Void button to cancel any credit or debit card payment. If the payment has already cleared, you will receive an error message stating the payment is cleared, and advising you to refund the payment instead.
Once the payment has been successfully voided, the payment will reflect 'VOIDED' in the auth code column. No further action can be taken on the voided payment once it has been fully cancelled. The amount of the voided payment is added back to the balance owing of your job.
Refund Payments
Refunds can be applied to any Credit, Debit or Bank payments that have already cleared (after 24 hours). Use the Refund button to return a Partial or Full payment amount back.
Click the Refund button and then enter the refund amount. Click the final 'Refund Payment' button to process the refund.
The refund will be recorded in the payment history section, and the refund amount will be added back to the job's balance owing.
If you have a voided / refunded payment, and won't be re-accepting further payments, you may need to adjust the prices on your job's line items. Once the job's total matches the total amount paid ($0 balance owing), the job can be toggled back to closed.
