How to create multiple calendar appointments at once.

The ability to create multiple calendar appointments in relation to a Quote or Job-Order can be activated in the back-end of the system (contact support). When enabled, you can create multiple calendar appointments for your jobs simultaneously. Read below to learn about this efficient feature.

With the multiple appointment feature is activated, you will find the option to 'create multiple appointments' within the appointment section when working within a quote or job-order. *NOTE: This feature is intended to add efficiency when multiple appointments are required for a single quote/order/invoice. It does not replace the recurring order/contract feature. If you need weekly/monthly orders/invoices (and appointments in the calendar for them), please use our recurring/contracts feature.

Schedule Details

  1. Set the First Appointment's details for start date/time and end date/time.

  2. Set the Schedule Type for the additional appointments. Select whether you want the additional appointments to be created on a daily or weekly basis. Choose the number of days/weeks between appointments. When choosing weekly, you can further select the days of the week that you want appointments created on. *You can also define what day a 'week begins on' (pre-set to Sunday and not required to edit this).

3. Select when to End the Schedule. Select either a fixed end-date or a certain number of appointments.

4. Next, set your Appointment Info, including, assigning a resource, employees, and notes (not required but helpful to add any necessary details/assignments before making the multiple appointment copies).

5. You can select any address tied to your client as the appointment address. The appointment address will default to the primary/default service address on file for the customer. For customers with multiple addresses, it is important to ensure you have the proper address defined on the appointments.

6. Click SAVE and your appointments will be generated for days/weeks selected in the Schedule parameters.

**NOTE: Each appointment created using the multiple appointment feature is an independent appointment. Each appointment can/must be edited independently should edits be required. Appointments can be edited freely in the calendar or within the quote/order that they are tied to. Appointments can also be deleted with ease. The maximum number of appointments that can be created at any time using this feature is 20.
