How to use the 'Approve' button and allow clients to self-approve quotes/estimates. (video and text)

BPro offers an 'APPROVE' button that can be displayed on your invoice template pdfs for Quotes/Estimates. The approve button allows clients to validate their interest in moving forward with the quote/estimate that you emailed to them. This helpful article will teach you everything relating to the new 'Approve' button, including, how to find and WIN client-approved estimates from the new Home> Approved Proposals page.

1. How to activate the 'APPROVE' button on your invoice template pdfs:

The approve button can be activated on your Quote pdf template through the Customize menu's 'Invoice Templates' page.

2. How to email a Quote/Estimate with the 'APPROVE' button:

First, you need to have a quote/estimate open on your screen. You can find existing estimates under the Home menu's 'Quote/Estimate List' page or create a new quote/estimate by clicking the 'new job' button under a customer or lead's profile page.

Once your quote/estimate is ready to email to the client, you can then send it from the 'Invoices' section of the quote. Simply select the 'Quote' invoice pdf template that you have activated the 'APPROVE' button for and then click the 'email' button.

3. Click the 'show' button to preview your estimate:

You can preview your quote/estimate by clicking the 'show' button in the 'Invoices' section. The 'APPROVE' button will always display in the Quote/Estimate number section of your pdf template.

TIP 1: You can even click the approve button yourself here if you'd like to test its functionality on a test quote.

TIP 2: You may want to 'call out' the approve button for your clients so that they know they can use it. Consider updating your standard quote/estimate email template so to let clients know that they can click the 'APPROVE' button in the attached pdf if they would like to move forward with the work. You may also consider verbally letting clients know that they can click approve when you are speaking with them over the phone or in person.

Note: The approve button is green by default to help it stand out visually and its color is not changeable.

4. What does the client see? How do they complete their Approval?

When the client opens your quote email, they will naturally open the attached quote pdf. From there, they can click the 'APPROVE' button in the top-right corner. Once they click the approve button, they will receive a small pop-up window where they can add a note/message to send along to you with their approval. If they don't need or want to add a note, they can simply click the 'approve' button again in the pop-up window.

If the client chooses to add a customized note (perhaps a question about the quote), they can enter their note and then click save. Any notes that clients submit with their approval, will automatically be attached as a note to the quote/estimate within BPro.

Once they save their note and click the final 'Approve' button, they will receive a final pop-up message which validates that their approval was submitted successfully and that a representative (from your company) will be in touch with them shortly. *It is very typical at this stage that you may need to call/email the client to confirm any final details, like scheduling.

5. What happens when the client approves a quote/estimate?:

NOTE: The approve button will not automatically convert your Quote into a Job. Quote conversions are an important metric and we cannot allow a client to affect your system data.

  • Any client-approved quotes/estimates will automatically be listed under the Home menu's NEW 'Approved Proposals' page. This page is set to organize and show only quotes that clients clicked and submitted the 'Approve' button for. The 'Approved Proposals' page has a pre-applied filter so that it defaults to load active 'estimate' status quotes. (This ensures the approval proposal list page always shows relevant active estimates that are pending WIN/conversion, and not displaying approved quotes that have already been converted into jobs, or possibly later retired).

  • The most recent client-approved quotes/estimates will appear at the top of the Approved Proposals page so they are easy to find. You will notice a helpful column that displays the date that the client approved the quote/estimate.

  • Click the edit pencil icon next to the estimate or click the estimate number in order to launch the estimate on your screen.

  • Once you have the estimate open on your screen, you can then click 'WIN' to convert it into a job order.

  • Client-approved estimates will display a visual reference (date and time stamp) at the top of the estimate, showing when the client-approval was made.

  • Any customized notes/comments that clients submit along with their approval, will automatically be displayed at the bottom of the related estimate for easy reference.
