When a refund is created in BPro, it will trigger the creation of a Credit Memo in QuickBooks Desktop. This will result in a credit appearing the customer's profile in QuickBooks that needs to be manually cleared if you have refunded the customer or can be applied as a credit to invoices.

Steps to refund the credit and clear it from the customer's balance:

  • Open the Credit Memo in QuickBooks Desktop
  • Click "Use credit to give refund" button
  • Set the appropriate payment method that corresponds with how the money was refunded (ie. Cash)
  • Select the appropriate account to issue the refund out of - this should be the same account that the original payment was received in so that it will balance out properly
  • Click Save

Now the credit should have a $0 balance and the customer account will no longer show a negative balance owed to them.
