Schedule - Events

All things related to events on the Sports Office Schedule

Access

To access the Schedule, you must have the correct user role: Schedule Access.

To modify the schedule and/or replicate the schedule you will need these additional user roles: Modify Schedule & Replicate Schedule.

These user roles can be allocated to you by your Club Administrator/Superuser.

To locate Schedule, go to Operations/Administration (depending on what system you are on), and underneath Comms you will be able to find/select Schedule.

Creating Event Types

When viewing the Schedule, on the left you will be able to see Custom Events that you can drag-and-drop onto the schedule. This article will teach you how to create these Event Types.

Firstly, the user must have the Club Administrator user role to create Event Types. The Club Admin user role can be given to a user by your TSO/KML Client Manager. If there is already a Club Administrator/Super User at the club, please contact them and request they add your desired Event Types.

The user can create Schedule Event Types by selecting System in the navigation menu, then select the System tab (underneath Administration Categories) and then selecting Schedule Event Types (underneath the sub-heading Comms Options).

Here, the user will see a list of all the current Schedule Event Types across all teams at the club. To add one, the user must scroll to the bottom of the page where they will find the Add New Schedule Event Type fields. Please see the descriptions below for each field:

  • Name = Name of Event Type

  • Teams = The Teams selected will have the Event Type visible on their Schedule

  • Locations = Select the location where the Event Type takes place.

  • Team Independent = If enabled, when you add the event into the schedule, the event will only appear on the schedule of the selected team

  • Category = Select Event Category

  • Colour = Colour picker for Event Type

  • Inactive = Used to disable an Event Type

Once you are happy, select Insert and the Schedule Event Type will be added to your system.

Using Event Types

On the left of the Schedule you will be able to see Custom Events, Session Themes and the following events that are enabled for every system: Events Management, Fixtures, Gym Sessions, Player care Sessions and Rehab Sessions. This article will teach you how to use these in the Schedule. However, to add these to a schedule, the user must have the user role Modify Schedule.

System Events:

These Events are automatically available to you because they link to event-related pages in the system, for example Fixtures is an event you need your players/staff to be aware of. You can add these to the schedule by dragging and dropping the various System Events onto the schedule.

Some of System Events will give you an option to select Auto-Add the Event or Redirect to add event when dragging and dropping the System Event onto the Schedule. Below I have defined what they mean:

  • Auto-Add the Event (Quicker method) = Selecting this will add the System Event directly to the schedule where you have placed it, without asking you for any further details.

  • Redirect to add event (Re-directed method) = Selecting this will redirect you to the page within the system that relates to this System Event e.g. The user has decided to redirect to the Add Player Care Session page to add specific details/activities to this event/session.

Session Themes:

Session Themes can be created by users on the system and are used to add themes to coaching sessions taking place, these themes can also show on the Schedule. By dragging and dropping a Session Theme onto the Schedule you will find you are presented with the same two options for System Events: Auto-Add the Event or Redirect to add event.

Selecting Redirect to add event for any of the Session Themes will take you to the session builder page where you can add session details, activities, objectives & evaluation.

Custom Events:

Custom Events can be created by Club Admins/Super Users on the system. These events are not linked to any pages on the system, so they are added directly to the Schedule when the user drags & drops them.

Viewing/Managing Event Types:

On a populated Schedule, you will be able to see the various Event Types that have been added. These will be coloured and have top level information showing, such as Time of Event, Name, Location and Teams that can see this Event on their Schedule.

If you single click on an Event, you will open the slider from the right side of the screen that shows additional information about the Event e.g. Category, Summary, Event Details. In this window you can also see the options set Alerts, Edit event or Delete event. The options are explained below:

  • Alerts = Selecting this gives you the ability to choose an Alert Type (Email/Text Message) and set an Alert Time to remind the attendees/participants of the Event start time.

  • Edit = Selecting this will open a window that allows you to manage the following Event components: Basic details, Visibility, Description, Attachments and Recurrence.

  • Delete = Selecting this will delete the Event from the Schedule.

If you double-click on an Event Type that is linked to another page in the system, this will redirect you to that page.

If you double-click on a Custom Event, it will open the Edit window (Basic details, Visibility etc).
