Access
To access the Send Email page, depending on what system you are using, you will need to select Operations/Administration in the top navigation menu. Underneath Comms you will be able to find and select Send Email.
Emailing through the system
The Send Email page has the following links to allow you to decide who will receive the email and what the contents of that email are:
Recipients (For players and Staff, the emails are sent to the email address that is attached to their user account. See System > Manage Users to find this)
Show Players and Staff from = Select the team/s you want to be able to select players/staff from
Staff = Select the staff/staff group you want to receive the email.
Players = Select the players/coaching group you want to receive the email.
Additional Recipients for Players = If their contact details have been added onto the system, you can select additional recipients to receive the email e.g. Mother’s email, Father’s email etc (further configuration information to do this is here)
Target Players = Target players are players added in the recruitment module (like Trialists). If an email address as been input in to the correct email field for said players, you can include them as a recipient
External Recipients = You can also include external people who do not have a user account within Sports Office
TUEs (Therapeutic Use Exemptions) = Add/Select any players’ TUEs from their medical records
Attachments:
Upload Attachment = Add file from your computer.
Attach from “Documents” = Attach a file that is currently uploaded to your Library or Documents section within Operations.
Compose:
Subject = Type the subject of your email
Body = Type the body of text/message
Preview Email = Select to preview email at the bottom of the page
Once you are have previewed the email and are happy with the contents and the recipients, you can click 'Send Email' to send. Its worth noting that emails are a sent from a 'no reply' address and therefore cannot be directly replied to.
You can however tailor your own club Email Footer that will be used on each sent email. To do this, you must be a Club Administrator - Go to System > System Options > in the Miscellaneous panel you will see the Email Footer editor.
Email History
In the related links of the Send Email page, there sits an Email History Log.
This allows you to see previous emails sent, who they were sent to and the status of whether the email was successful or not.
