The Comms section on The Sports Office App

The Sports Office native app allows players and staff to communicate back and forth through a chat functionality. Staff can create chats with players and other staff, and players can start chats with staff.

Enabling Comms

Comms will be turned off by default when first using the app. If you do want to use the

Comms feature then a super user will need to:

• Go to the main site

• Go to System and click the App tab

Once Comms has been turned on, staff members will need to be given a user role to enable them to use the Comms functionality. Giving them this user role means that they can start chats with players and other staff (who have the user role) who are assigned to the same teams as them, for example an U12s coach with access to

Comms would only be able to communicate with other staff or players from the U12s team. To give this user role to a staff member, the clubs super user must go to:

• System area of the site

• Then click into Manage Staff

• Find the staff member

Once a staff member has been assigned this user role they will be able to use Comms in the app.

• App Options

• Tick Enable Comms

• Press Edit

• Go to Assign Roles in the wizard

• Tick the user role called Messaging Access

APP PERMISSIONS

There are a few set rules within the Comms section of the app.

• Only staff who have the Messaging user role can use Comms

• Players can only start chats with staff members who are assigned to the same team as them

• Players cannot start chats with other players

• Staff can start one to one, group chats, or broadcasts to other staff or players who are assigned to the same team as them

USING COMMS AS A PLAYER

Start a Chat

As a player, to start a chat, they will go to Comms on the app and press the icon in the top right of the menu.

This will give a list of users who are available to start chats with (these will be staff members with the Messaging user role who are assigned to the same team(s) as the player).

The player can then select a staff member to start a chat with and press Create in the top right. This will create a new chat where the player can send messages.

Existing Chats

When the user goes to Comms in the app they will land on a page that shows a list of their existing chats, with the other user(s) names. If they click on one of these then it will take them into the chat to show them the chat history and allow them to add a new message.

If the player has created the chat, they are able to archive this by sliding the chat across the page from the Comms page, which will reveal an Archive Chat button. Clicking this will Archive the chat for all users involved in the chat and put it in an Archived folder, which will appear at the bottom of the page. If they click in here, they are able to un-archive the chat.

USING COMMS AS STAFF

Start a Chat

As a staff member, to start a chat, they will go to Comms on the app and press the icon in the top right of the menu.

This will give a list of users who are available to start chats with (these will be staff members with the Messaging user role, or players who are assigned to the same team(s) as the staff member).

The staff member can then select player(s) or other staff member(s) to start a chat with and press Create in the top right.

• If the staff member has just selected one user, this will create a one to one chat

• If the staff member has selected multiple users, this will give them the option of

creating a Group Chat or a Broadcast

Group Chat

• A Group Chat will create one group with the multiple selected users

• All users can communicate with each other in this group and see/respond to all

messages sent in the group

• The staff member will also be able to set a Group Subject which will be shared with

the group (e.g. Attacking Group)

• They will also be able to set an image for the group, however this will only be seen by the creator

Broadcast

• A Broadcast allows staff members to send the same message to multiple users

• This however does not create a group chat, but rather creates multiple one to one chats

• This means that the recipients are not able to see who else the message has been

sent too, or respond to other people

• The recipients can however reply to the message which will go straight to the one to

one chat with the sender
