Viewing the Schedule via the Sports Office App

The Sports Office native app allows players and staff to view what has been entered on their schedule. This will show sessions/fixtures/gym sessions that have been added for them, as well as events, and custom entries that staff have made (such as Team Meetings, Meals etc.). Users can also view any attachments that have been added to a scheduled event directly through the app.

Creating Scheduled Events

Scheduled events are added on the desktop site by staff users with the Club Administrator user role.

A number of default events are available automatically such as Sessions, Fixtures, Gym Sessions, or events added in Event Management. These all come with further detail configuration and involve further data that could be used in reporting. For example - the session planner tool allows you to plan a session with activities, drills, participants and drill diagrams.

For all other types of events, your organisation has the ability to add Custom Events to the schedule. To create these different Custom Events the club administrator needs to go to:

• System

• Click into Schedule Event Types

• They are then able to create the Custom Event, giving it a name, selecting the teams

it is available for, amongst some other details.

• One of the details here is Team Independent – if this is ticked, then when this event

is added to the Schedule it will only get added for the team it is added in – if it is not

ticked, then when this event gets added, it will get added for every team that the

event type is available for

Building a Schedule

Only staff users with Modify Schedule user role can build a schedule via the desktop version of the platform. If you have this user role, you will see a list of available events down the left hand side of the calendar view. Each calendar is Team Specific to the team/squad you are in from the top right hand selector.

To add an event either drag the event from the left and drop onto the calendar in the appropriate time slot OR you can double click on the schedule at the date/time the event will be happening to bring about the event options.

The staff user can then fill out the details of this event filling out details like Name of event, who the event is visible to etc.

Once the event has been added, each user who has been assigned to the event will be able to view it in their schedule, either on the main site or within the app.

If the user single clicks the event on the main site, then another window will open showing additional details of that event.

Viewing Schedule via the App

Upon logging into the app, the players land on their Schedule. This will default to Todays date. The user will be able click on any of the event cards which will expand the card and show more details.

A paperclip icon will also be visible on any scheduled events that have attachments against them. To view this the user will click on the card to expand it and then be

able to click a link that will open the attachment within the app. There is also a filter icon at the bottom right of the schedule which will allow the user to filter their schedule by any teams that they are assigned too, so that they are able to filter their schedule to only show certain teams.

Users can change the date of the Schedule by clicking on one of the dates from this week at the top of the Schedule or by expanding this section they can select a date from the past or the future

Additional Options to Consider

There is the ability to define how far forward players can see on the schedule. As an example you may only want them to see their schedule one week ahead at a time. Within the SYSTEM module > under System Options > at the top of this page you will see options for defining how many weeks or days you want players to be able to view in their schedule.
