Sports Office offer databases for both Staff and Player personal details. You can create your own personal detail fields if they are not already in the database and import your existing database into Sports Office to update records. You can also export these details if you need to.
To access the following config areas you will need Club Administrator or Manage Players user roles.
Creating Fields
The system comes populated with default personal detail fields which can be seen in the manage Player or manage Staff sections - Find a user and click edit on their profile.
If you would like to add more fields to the database go to System > Custom Player Details Fields > You can now see any existing custom fields with the area to add new ones. Each field has to belong to a Category which helps position it in the personal detail form. Again, you can use the existing Custom Field categories or you can create New ones by clicking the Manage Field Categories in the related links.
When creating new Fields, you'll need to add Name
Name: Field Name
Input description: This displays as an information sentence for the user to refer to (optional)
Input Type: This drop down enables the user to select how they would like record their data. It gives the following options:
- Radio Buttons (Range) - e.g. 1 - 10
- Radio Buttons (Options) - e.g. Yes, No, Maybe
- Drop Down List (Selections)
- Checkboxes (Multiple selection)
- Number
- Text
- Traffic Light
- Traffic Light with text
- Information area - used to further present the user with a key or information
Compulsory: Check this if you wish to make this field a compulsory field. Data cannot be saved without this being completed
For Players: Make the field for Player details
For Staff: Make the field for Staff details
Input Options: If you choose Radio Buttons, Drop down list or Checkbox input type, you can add the answer options here. Separate by comma
Export Templates
Before you can import or export player/staff details you must create a Template.
System > Player Export Templates
Add a Template name > Assign fields to the template.
When you create your template, you will want to match the fields with your existing database so that you can copy and paste detail from your own database into Sports Office.
PLEASE NOTE: Sports office use 'Known as Name' for Forename.
You can create as many templates as you like which can be useful in future use i.e. You may have a template for Addresses, a Template for School details and a Template for Doctor details.
Import/Export
Once you have the template all set up, you are ready to export the database.
System > Import/Export Players/Staff
Export
First use the Export panel to export a template from Sports Office (This holds the Player and Field ID's needed to store the data in the correct areas.
Template: Choose a Template
Teams: Choose the Teams which then draws the Players in the next field (this will only show players assigned to those teams)
Players: Choose which players you want to export detail for
You can now Preview the export before Exporting to excel.
Import
You can now update the template offline at your own leisure. If you have your own database and you have matched the templates, you should be able to copy and paste from yours into the Sports Office template.
PLEASE NOTE: Please save the spreadsheet as an Excel Workbook.
Go back to System Import/Export
Choose your saved file in the Import panel > Preview the import > Underneath the preview panel, you should see a message to whether the import file has been accepted or not.
If the spreadsheet has any errors preventing it from being imported, the errors should be highlighted on the spreadsheet in the preview panel.
