Introduction
Games Programme fixtures for PMA clubs are automatically uploaded to the system via the integration with FAS (Football Administration System).
Since this is managed through FAS, any required changes to those fixtures must be 'Proposed' by one club and and 'Accepted / Declined' by the opposing club. This ensures that all official changes to a Games Programme fixture are recorded.
Access
In order to manage fixture change requests / cancellations, you will need Data Provider Fixture Manager user role access. If you do not have this access, you can request it be given to you by your system club admin/superuser.
Propose a Fixture Change / Cancel a Fixture
Firstly, go to your fixture list by selecting Coaching & Games Programme > Fixtures in the navigation menu (You will need to be in the correct team via the top right team selector).
Find the fixture you wish to change/cancel and select the 3 dots on the far right of the row > Edit.
In the top right, select Propose Change.
The Propose Fixture Change window will open and allow you to specify the changes you wish to make:
Teams - If you are playing the same club but in multiple age groups (teams) and you need to change more than one fixture, you can select the other teams here.
Fixtures - Once Teams are selected, this list will provide the list of fixtures for those teams around the date of the original fixture. Select the correct fixtures you wish to propose a change for.
Date & Time - Allows you to propose a new kick off time and / or date.
Venue - Allows you to propose a change in venue if applicable.
Home/Away - Allows you to propose a change from Home to Away for example.
Fixture Status - Allows you to Cancel or Postpone a match. Active status means the fixture is going ahead.
Reason for change - You will need to give a reason for any change proposed. Select from the list.
Additional notes - Space for any extra notes you wish to make. These will be visible from the opposing club.
Once you have populated the fields to fit the change / cancellation you wish to make > select Submit Proposal.
This will email alert any user at the opposing club who has the Data Provider Fixture Manager user role.
They can now Accept / Decline or propose further changes.
Proposed Fixture Changes
In the Games Programme Navigation Menu, any user with Data Provider Fixture Manager user role should see the Proposed Fixture Changes link.
This allows you to see any 'Incoming' proposals from opposing clubs/teams and any 'Outgoing' fixture changes your club have made.
You can filter to show any fixtures which are:
Active - Proposed changes not actioned as yet
Accepted - Proposed changes Accepted
Declined - Proposed changes Declined
Cancelled - Any Cancelled fixtures
You can also see the details of the changes proposed / accepted / declined like a change in date, time or venue for example.
If you hover over the 'Additional Info' icon you will see the reason for the change / cancellation and any extra notes.
Accepting/Declining Fixture Change Requests
As mentioned above, any proposals need to be accepted or declined.
In order to accept / decline 'Incoming' change requests, you need to go to the Proposed Fixture Changes page (Coaching & Games Programme > Proposed Fixture Changes).
In the Incoming tab filtered to 'Active' requests, you can see each requested change. From the 3 dots on the right hand side of said fixture you can choose to accept or decline the request. Confirm your decision and the request will then disappear from the Active list.
Any proposals or actions to incoming fixture requests will send an alert to the alert to any user at the opposing club who has the Data Provider Fixture Manager user role.
