How to use the Cardiac Status feature in Sports Office Medical

Access

To access the Medical config settings, you will need the Medical Administrator permission which can only be allocated by Sports Office staff. You will also need a medical PIN to record the results of a Cardiac Screen against an athlete.

Introduction

The cardiac status allows you to record and alert the latest information from the cardiac screenings of each athlete. the status appears on the Medical Team Status page which can be accessed from anyone with Medical Team Status permission making it a great way to communicate with other staff members at your organisation.

Set up / Configuration

Firstly we need to create the Cardiac Screen and mark this as a screen that requires the alerting icon.
Go to System > Medical > Screening and Assessment Reports.

You can create a Report type by adding the title in the empty box on the page. Check the option to 'use as Cardiac Status'.

By default each report type has a Report date, Follow up date, Practitioner, a Notes field and an Attachments area.
You can add further fields to each report type by using the 'Manage Fields' link at the top of the Screening and Assessment Reports page. This allows you to fully customise what data you would like to record against on the screen. Simply create new fields and then from the 3 dots of the Report > click Modify content. Now add the fields into the report in the order you wish.

By selecting the 'use as Cardiac Status' option, further options are displayed on the screen by default.
Namely: Cardiac Action Type, Notes and Alert for Staff.

The options in the Cardiac Action Type are: 'No further action required' OR 'Further action required'.

Once you are happy with the screen content, go back to System > Medical > Medical Option and check the option to use the Team Status icon:

NOTE: This is a per Squad setting so you could have it ON for the U18 and U23 whilst OFF for the rest of the squads.

Adding a Cardiac Screen Report

You should now see a Cardiac Status icon on the Medical Team Status page. It will appear clear / empty if no screen has been recorded against the athlete.

To add a new screen go into the athlete in question, you can use the 3 dot menu from the right hand side of said athlete > select Screening reports from the drop down (requires PIN to enter).

Alternatively, you can access Screening reports from the athletes medical dashboard (click the athletes name). Scroll down the page and select 'Other Data' > Now Click Screening Reports.

Once on this page, select the 'Add Report' panel.

Now select your 'Report Type' (in this case your cardiac screen) > the page will refresh to show you the report template below.

Complete the fields > Report Date, Follow up date is optional but is used in the Medical Expiry Alerts, Practitioner and any general notes if needed.
Further below, you should see the Cardiac Status fields. It is the Cardiac Action Type field that affect the icon on the Team Status page.
Setting that to 'Further Action Required' turns the icon solid Red with a Red exclamation

''No Further action required' turns the icon solid Red with a Green alert

You can add attachments by using the attachments option to upload any accompanying files you may have.

You can select to alert another member of staff by choosing them from the Alerts list. This will email said staff about the screen.
Finally, save the report by adding it Locked or Unlocked. Unlocked means the user who created it can make edits at a later date.

Cardiac Status Icon

From the Team Status page you should now see the Cardiac icon in solid Red for any athlete with a screen recorded against them with the relevant alert icon.
Hovering on the Cardiac status icon brings the Report date, Follow up date and any notes left in the cardiac status Note box.

The icon will remain until it is overwritten with a new Cardiac Action type.

Follow up alerts

By using the Medical Expiry Alerts (found in the medical Nav menu) you can search the follow up dates for the whole squad for any screen (calculated from the Follow up date).
Simply select the report Type and the time frame to run.

You can choose to configure an Email reminder for each Medical Screening type if you wish to.
Go to System > Medical Settings section > Medical Expiry Alerts:

Select the Screening Report type you wish to configure the alert for.

Enter the Number of Days you wish the alert to be sent before the Follow up date on the report

Scroll down the page to add the relevant recipients of the alert
