⚠ BETA
ThreadWork is in beta. Today you create a workspace by connecting your Google Business Profile. Other ways to connect locations are coming as more review sources are added.
A workspace is where you manage a set of locations together — their reviews, brand tone, and reply settings. After you’ve created your account, the next step is to create your first workspace. The quickest way is to connect your Google Business Profile, choose the locations you want, and let ThreadWork get to know them.
Step 1 — Choose how to create your workspace
On the Choose a workspace screen you’ll see two ways to begin:
Create workspace with Google — connect your Google Business Profile and bring your locations in. This is the recommended path and the one this article follows.
Join with code — if a colleague has already set up a workspace and given you a code, use this to join their existing workspace instead of creating a new one.
Choose Create Workspace to continue and click on Google Business Profile.
Step 2 — Sign in with Google and grant access
You’ll be taken to Google’s own sign-in screen to choose the Google account that manages your business locations. To continue, Google shares your name, email address, language preference, and profile picture with ThreadWork. ThreadWork never sees your Google password.
ℹ NOTE
Make sure you sign in with the Google account that manages the Business Profiles for the locations you want to add. You can switch accounts later in the flow with Choose another account.
Step 3 — Select the locations to add
ThreadWork shows the business locations available under the Google account you connected, on the Select Locations screen. Tick the locations you want to add to this workspace — each shows its name and address. The button updates to reflect your choice (for example, “Connect 2 locations”). Then choose it to continue.
If you picked the wrong Google account, choose Choose another account to go back.
If a location is already in use
A location can only belong to one workspace at a time. If one of your locations is already attached to another workspace, it appears greyed out with the note:
“These locations are already in use. These locations are shared with other workspaces. If you believe this is an error — get in touch with us.”
From there you can Contact support or open the Documentation link. You won’t be able to add a location that’s already in use until it’s freed up.
Step 4 — ThreadWork gets to know your locations
Once your locations are connected, ThreadWork reads through their existing reviews to understand your business. You’ll see a short loading step — for example “Getting to know McDonald’s Mall of Switzerland” for a specific location, or “Getting to know your business” more generally — with the message “We’re diving into your reviews to understand what makes your brand special.”
No action is needed here; just wait while it reads through your reviews.
Step 5 — Choose your workspace type
Based on what it found, ThreadWork suggests how to structure your workspace on the Workspace type screen. It tells you what it detected — for example, “We analysed your locations and seems like they are all same brand. It recommended to move ahead with shared brand.” — and offers two options:
One workspace — one workspace with general settings, to maintain a consistent tone of voice across all your locations for a unified brand experience. Best when your locations are the same brand.
Separate workspaces — a workspace tailored to a single location as an independent brand, with its own unique settings. Best when locations should be managed as distinct brands.
Pick the option that matches how you run your locations, then choose Proceed.
ℹ THE RECOMMENDATION ADAPTS
ThreadWork’s recommendation is based on its analysis of your reviews, so the “Recommended” label may sit on either option depending on whether your locations look like one brand or several.
If you choose Separate workspaces
When you select Separate workspaces, a Choose one location dropdown appears so you can pick which single location this workspace is for. Select the location, then choose Proceed.
ℹ YOU CAN CHANGE THIS LATER
This choice isn’t permanent. As the on-screen tip explains: “You can create more workspaces for other locations later. Or add more locations in this workspace.” So you can start simple and grow your setup as you go.
Step 6 — Review your business description
Here’s where the analysis from the previous step pays off: ThreadWork has already filled in your business description for you, based on what it learned from your reviews. You don’t start from a blank form — you simply check what’s there and adjust anything that doesn’t look right. The fields are:
Brand Name — the name your guests know you by.
What best describes your business? — your business type (for example, Quick Service or Fast Casual).
How would you describe the positioning? — your price/positioning level: Budget Friendly $, Mid-Range $$, Premium $$$, or Luxury $$$$.
Step 7 — Review your tone of voice
As with your business description, ThreadWork has already set a tone of voice for you based on what it learned from your reviews — so this step is about reviewing and fine-tuning, not building from scratch. A live preview on the right shows a sample review and the reply ThreadWork would generate, so you can see how any change sounds before you commit to it.
You can adjust four settings if you’d like, each with three levels:
Formality — Casual, Balanced, or Formal.
Warmth — Neutral, Balanced, or Warm.
Reply Length — Short, Balanced, or Detailed.
Energy — Calm, Balanced, or Playful.
Tone by review rating
The tabs at the top — All, 1, 2, 3, 4, 5 (stars) — let you tune the tone for reviews of different ratings. For example, you can set a warmer, more apologetic tone for low-rated reviews and a brighter one for 5-star praise. Use All to set a baseline that applies across ratings.
Advanced tone options
Open Advanced for two more toggles:
Use guests name when available — addresses the guest by name in replies when their name is known.
Allow emojis when appropriate — lets replies include the occasional emoji where it fits your brand.
Choose Next to continue.
ℹ TONE CAN VARY BY LOCATION
As the on-screen tip notes, you can configure distinct Tone of Voice settings for each location at any time in Settings. The settings here apply to the workspace you’re creating; you can fine-tune per location later.
Step 8 — Choose your reply rules
The final step, Reply rules, controls how much ThreadWork does automatically and how quickly. Pick the automation level that matches how much oversight you want:
High automation — automatically publishes replies to all reviews (1–5★). You can still edit them later.
Safe automation (Recommended) — automatically publishes replies to positive reviews (4–5★); negative reviews require your approval first.
Conservative automation — automatically publishes replies to 5★ reviews only; all other reviews require approval.
Manually approve only — creates drafts for every review; all replies require your approval before they’re published.
Reply speed
Set your Reply Speed — the target time for responding to incoming guest reviews. Choose from Answer within 4h (Recommended), Answer within 24h, Answer within 48h, or Custom SLA to set your own target.
When you’re happy with your rules, choose Create workspace.
Your workspace is ready
ThreadWork briefly shows “Creating Workspace…” and then “Workspace created!” — your workspace is set up and ready to use. From here, your locations’ reviews start flowing into your Inbox, drafted in the tone and within the rules you just set.
