How can I import Assets using the Import Wizard?

This article outlines how to format and import your Asset file using the Import Wizard in TSW.

Managing dozens or hundreds of assets is not an easy task. Updating information for a handful of assets is also not an easy task. By using ThreatSwitch, we simplify this process by allowing you to import hundreds, if not thousands of assets at one given time. Insert our Import Wizard - this import tool allows you to create, update and import a .CSV file into ThreatSwitch to help manage your assets.

The bulk of the work will consist of compiling this information in a .CSV file to import it into ThreatSwitch. The .CSV file should include all fields located under the 'Asset Control'. A template is include here. If you would like to create your own, the fields to include are:

  • Asset Name, Asset Identifier

  • Custodian, Contract

  • Media Type, Status

  • Origin, Origination Date

  • Facility, Container

  • Next Audit Due, Date in, Date out, Date destroyed, Declassification Date

  • Receipt Number

  • Notes

  • Classification and Accesses

The items in bold are required to be added to ThreatSwitch prior to adding the asset. Instead of including the name for these items, you will want to include the ID number assigned to the Contract, Custodian, Facility and Container. To locate the ID number, you will need to pull a report from each section by selecting 'Create Report'.

For example, to capture the ID number for the Custodian, you will need to open the 'People' section and then select 'Create Report'. The ID number is located in Column A (see below). You will follow the same steps for the Contract, Facility and Container sections.

Formatting Tips:

  • Any date field you will need to have it formatted as: “mm/dd/yyyy 00:00:0000”. Example: 2020/10/20 00:01:0000. The exact time does not need to be accurate, you will just want to include it on the .CSV file.

  • The only fields that are required are: Asset Identifier, Asset Name, Facility, and Custodian. We highly recommend including more information for reporting purposes.

  • The file will need to be saved as a .CSV file.

Once you have the data compiled for the assets, you can begin importing the file using the Import Wizard. Follow the steps below for importing the asset file using the Import Wizard.

  • Step 1: Login to ThreatSwitch using your Administrator account

  • Step 2: Proceed to the 'Administration' tab and select 'Imports'.

  • Step 3: From there select 'Create new Import'.

  • Step 4: Title and date the import and select the type of import. For assets, select the 'Assets' import.

  • Step 5: Add the .CSV file to be imported.

  • Step 6: Associate the four required fields to match the fields in ThreatSwitch. Example: Document identifier = Asset identifier and so on.

  • Step 7: Associate the imported columns from the file to match the properties in ThreatSwitch. Example: Date in = Acquired At and so on.

  • Step 8: Review the requested imported data, confirm there aren't any errors and then select 'Import Data'.

  • Step 9: Congrats! You have successfully completed the import process for Assets!
