Session Recording and Call Summaries – What You Need to Know

Our coaching platform includes a recording feature designed to make coaching more effective and supportive. This article explains what happens during a session, why recordings exist, and how your data is kept safe.

Why are sessions recorded?

Recording isn’t about storing your conversations. Instead, it’s used to create two things:

  • A transcript of the discussion

  • A call summary with key themes and actions

This helps clients by:

  • Reviewing what was discussed

  • Tracking agreed actions

  • Preparing for the next session

And it helps coaches by:

  • Offering more personalised feedback

  • Preparing better for future sessions

  • Following up on commitments


When did Thrive start this?

Session recording is not a new feature. It has been in place for some time, with the primary purpose of supporting summaries.


Who can see transcripts and summaries?

Only the people on the call – the coach and client – can access the transcript and summary.

They are not shared with:

  • Other coaches (even if the same client books them)

  • Customer administrators

  • Platform administrators

  • Other clients

There is no built-in “share” feature. A client could copy and paste text if they chose to, but this is unusual given the private nature of coaching.


Are audio or video recordings available?

No.

  • Audio files cannot be downloaded or accessed

  • Video is never recorded

  • Only transcripts and summaries are available


Do clients have control over recording?

Yes. Thrive uses a client-centred consent model:

  • Clients choose whether to enable or disable recording when they join a session

  • A red dot clearly shows when recording is active

  • If recording is turned off, no transcript or summary is created

Organisations can also choose to turn off recording across all sessions.


Can a coach turn off recording?

No. Coaches give consent to recordings as part of their agreement with Thrive. Control rests with the client, who decides whether a session is recorded.


How long is data kept?

Session transcripts and summaries follow the same retention rules as other data on our platform. Thrive complies with it’s obligations under data protection regulations such as the EU GDPR and UK GDPR - any requests should be made to Thrive’s support team.


How is data used?

  • Data is only used to generate transcripts and summaries

  • It is not used to train AI or machine learning models

  • All data is handled under strict GDPR and privacy safeguards


Who owns the data?

Thrive has Intellectual Property (IP) rights to data produced on its systems or created in the provision of coaching services. IP assignment is covered in the contract between coaches and Thrive.


Are session recordings used to train AI models?

No. Recordings are not used to train the Artificial Intelligence (AI) or Machine Learning (ML) models that generate transcripts and summaries.

  • Data is processed solely to create transcripts and call summaries

  • It is not reused, shared, or repurposed

  • All processing is handled in line with strict privacy, security, and GDPR requirements
