How to reschedule or extend a coaching session?

You can reschedule an upcoming session or extend its duration directly in MyThrive.

If a client asks to change a booking within 48 hours of the session, you’re entitled to treat the original booking as a cancelled session and invoice for it.

You may choose to reschedule instead. This is at your discretion and may depend on the circumstances and your relationship with the client.


When might I choose to reschedule within 48 hours?

You may decide to reschedule when an unexpected situation prevents the client from attending.

Examples include:

  • sudden illness or injury;

  • a family emergency;

  • bereavement;

  • an urgent caring responsibility;

  • severe travel disruption;

  • extreme weather;

  • a natural disaster, such as an earthquake or flood;

  • another serious event outside the client’s control.

These examples do not automatically require you to reschedule. Use your judgement and consider your relationship and previous arrangements with the client.


When might the cancellation policy still apply?

You may decide to apply the cancellation policy when:

  • the client forgot the session;

  • the client accepted another routine commitment;

  • the client knew about the conflict earlier but did not contact you;

  • the request results from an avoidable scheduling mistake;

  • the client repeatedly asks to change sessions at short notice;

  • the client does not attend or contact you.

Consider each request individually. Apply the policy fairly and communicate your decision clearly to the client.

If you agree to reschedule, confirm the new date and time with the client before changing the booking. This allows you to move the existing session rather than cancel it.


Before you start

Confirm the new date, time or duration with your client before making any changes.

If you extend the session, the client must have enough coaching credits to cover the new total duration. MyThrive will show the number of credits required.


How do I reschedule or extend a session?

  1. Open the client’s upcoming session.

  2. Select Reschedule.

  3. Choose the required session length:

    • To change only the date or time, leave the session length unchanged.

    • To extend the session, choose the new total duration. For example, select 1 hr to extend a 30-minute session to 1 hour.

  4. Select a new date and time from your Published availability.

  5. To keep the original start time and only extend the session, select the same date and start time as the existing booking.

  6. Review the booking summary. It shows the proposed session details alongside the original booking.

  7. Add a message for your client if needed.

  8. Choose how you want to confirm the change ("Send invite" or "Book instantly")

  9. Select Invite.



Which confirmation option should I choose?

The option you choose is at your discretion. Consider your relationship with the client and whether you have already agreed the new session details.

Send invite – client must confirm

Choose this option when the client still needs to approve the change or you would prefer them to confirm it.

The client will receive an invitation and must accept the new session details. MyThrive will hold the time in your calendar while you wait for a response.

The invitation expires after 7 days if the client does not accept it.

Book instantly – no confirmation needed

Choose this option when you have already agreed the new details with your client and are confident that no further confirmation is needed.

The session will change immediately, and the client will not need to confirm it.


What happens next?

If you select Send invite – client must confirm

The client will receive an email inviting them to accept the new session details.

The proposed time will be held in your calendar while you wait for their response. The change is confirmed when the client accepts the invitation.


If you select Book instantly – no confirmation needed

The session will be updated immediately.

The client will receive:

  • an email confirming the new session details;

  • an updated calendar invitation showing the new date, time or duration.

Rescheduling or extending a session does not cancel it. You can make these changes within the 48-hour cancellation window if you decide that rescheduling is appropriate.

What happens if the client does not attend?

If you select Book instantly – no confirmation needed and the client does not attend, the session credit will not be returned. The client no-show policy applies.
