How do I prepare and submit my monthly coaching invoice?

Submit one PDF invoice for all billable sessions completed in the previous calendar month. Make sure it matches your Session download, excluding Group and Executive coaching sessions, then email it to accounts@thrivepartners.co.uk.


Before you start

Download your previous month’s sessions from My Sessions. You can use your own invoice layout, but it must include all required information.

What must my invoice include?

  1. your name and company name

  1. your registered address and company registration number, if you have one

  2. your VAT or GST number, including the country code, if applicable

  3. a unique invoice number

  4. the invoice date in DD/MM/YYYY format

  5. the calendar month covered by the invoice

  6. the name of the coach who completed the sessions

  7. each billable session, including its date, client company, client name, status, length and fee (please see the following guide

  8. the subtotal in pounds sterling (GBP)

  9. VAT or GST, if applicable

  10. the grand total in pounds sterling (GBP)

  11. the payment details that apply to your country

How do I submit my invoice?

  1. Include all billable sessions from one completed calendar month on one invoice.

  2. Make sure the invoice matches the Session download, excluding Group and Executive coaching sessions.

  3. Check the session statuses, details and totals. Contact Thrive if a booking status needs correcting.

  4. Save or export the invoice as a PDF.

  5. Send the invoice by the 14th if you want it processed for payment at that month end.


Can I invoice for the current month?

No. Invoice only for a calendar month that has finished. Do not send more than one invoice for the same month.
