How to download and invite your team to the Check-in app

Getting started with the Ticket Tailor Check-in app

The Check-in app makes it easy to manage entry at your event across multiple devices. When you invite your team, they'll receive a magic login email with step-by-step installation instructions and direct links to download the app.


Downloading the Check-in app

šŸ’” The Check-in App requires Android 8+ or iOS 13.4+ to run on your device.


How to invite your team to the check-in app from your Ticket Tailor dashboard

  • From your Ticket Tailor dashboard, select 'Box office settings' > 'Check-in app users'.

  • Click 'Add user' to create a user login for the app. Enter their name, email and select what events the user should be able to access.

    • If applicable, you can also limit access to specific recurring event series.

    • You can also choose whether a user can place in-person orders.

  • You can also choose to allow the user to search and redeem memberships (this can't be changed later).

  • Under 'Data visibility' you can use the checkboxes to decide if the user should see sensitive data, or if this should be hidden from your door staff (this can't be changed later).

  • Select the checkbox called 'Email a login link' to send a temporary login link to the check-in app user's email.

  • Click 'Save'.

  • Your team member will then receive a magic login email with step-by-step instructions. This email includes:

    • Direct links to download the app from the Apple App Store or Google Play Store.

    • A 'Log in' button to access the app from their mobile device. The link won't work if it's opened on a desktop browser.

šŸ’” Magic login links allow users to access the app without entering a password by simply clicking the link in their email. These links are valid for 24 hours or until first use, whichever comes first.

How to log in to the app on your check-in device

  • Ensure the Check-in app has been downloaded and installed.

  • Open the link in the sign in email.

  • The app will log you in and show you the events available for check-in.

Having trouble logging in?

  • The app password is a unique, auto-generated password, and not the password you use to log into your Ticket Tailor account.

  • The magic login link expires after the first use or after 24 hours (whichever comes first), and has to be resent via your Ticket Tailor account after this.

  • To manually find the password for each user:

    • Head to 'Box office settings' > 'Check-in app users', then select the individual check-in app user.

    • Within the 'User details' section, you'll see a row named 'Password'. Click the link that says 'Click here to show', and a password should appear.

  • If magic login links keep expiring, consider using this as an alternative login method for consistent access.

  • If you do not have access to this, you should contact your account admin who can generate and send a fresh login link through the Ticket Tailor dashboard (or provide the password).


šŸ’” Things to note

  • The name entered when inviting a new check-in app user will appear on reporting of who checked-in each ticket.

  • Instead of a person’s name, you can enter the name of a device or of a gate/entry point if that's more helpful for reporting and device management.

  • Data visibility and membership access settings can only be set when creating a new user. You won’t be able to edit an existing user to change these settings. If you need different settings, you can create a new user with the desired settings, then log into that check-in app user account on the same device to update your preferences.
