Affiliates & Employees

Partners in the new version of Trackbox.

The Affiliates & Employees screens allow you to efficiently manage your affiliates and employees within Trackbox. Using and controlling these tabs will help you gain the ability to control and optimize your traffic while effectively managing your workload.

First of all, let's discuss the different type of users we have in Trackbox:

Affiliate - Anyone who sends traffic to your system - can see only his statistics and information (view only)

Master Affiliate - Can see all info and statistics of affiliates that are assigned to them (view only). A general manager has to assign affiliates under this user.

Affiliate Manager - someone who works in your organisation and would manage affiliates that are assigned to them. This user would see the info and statistics of his affiliates. A general manager has to assign affiliates under this user.

Brand Manager - someone who works in your organisation and would oversee your advertisers. They have access and visibility in the system to monitor and manage the activities related to those assigned brands.

General Manager - has full access to manage and view all aspects of the system. They have control over both affiliates and advertisers.

If you want an user to see extra information, for example, for an affiliate manager to see brand and campaign names - you need to assign them extra permissions.

For that you can either open a ticket and ask support to give them the permissions you want or you can assign them by clicking on the 3 dots next to the user and then "Change User Permissions".


Employee Creation

Now that we know the difference of all types of users you have in your CRM, let's learn how to create a new Employee first.

In the Employees screen Click on "Create Employee":

In this step you give this employee a username, email, select their role and choose a password for them.

After filling the user details you have the option to assign entities to him,

In this case its a brand manager so you can choose which brands he will have access to in the system right away and the option to assign newly integrated brands to be assigned to him later on.

The same goes for the other roles such as Affiliate Manager and assigning affiliates to him.

Note that General Manager has the most permissions and can see almost everything in the system.

Employee Creation Step 2 - Summary

Here you will see the summary of the user details.

Click "Done" at the top and the user will be created, and you will have the details at the ready to copy and provide to your employee to start working right away!


Affiliates Creation

You have two ways to integrate with an affiliate.

First option - creating a partner manually:

Click on "Add Affiliate / Master":

In this step you give this new user a username, fill their email, select their role and choose a password for them to use in order to send leads and enter the system.

After filling the initial info you will have these options below:

In more details you can edit the partner's information, such at full name, phone number and etc. You can also edit this data after creating the data, as filling this info is not mandatory.

Also, while creating the partner you can choose whether to hide the affiliate stats by default, meaning this affiliate would be a Distribution Affiliate.

A distribution affiliate is a type of affiliate whose leads are not displayed with the normal leads from other affiliates.

Instead, you have to enable a specific toggle to see their leads.

This feature is useful for affiliates who inject cold leads into the system and you want to keep their leads separate from the warm leads.

When this feature is enabled, you will not be able to find these leads in any of the system's finance, reports, leads, or other areas, but you can access them by clicking the designated toggle in the filters.

You can set them as a distribution affiliate while creating them or you toggle this setting afterwards.

Important!

While creating a new user you might encounter this error after clicking on "next":

This error means that in your system such a username or email already exists.

In such a case all you need to do it to give this partner a different name and email.

Affiliate Creation Step 2 - Traffic Distribution

In this ste[ you need to select an existing box or create a new box to enable this affiliate to start sending you traffic.

If you have chosen to create a new box then you will have the option to set the box name you want:

Additionally you have optional blocking settings for this specific affiliate.

Please Note that you should first check your system's settings for duplicate blocking you might already be blocking the same criteria for your entire system already!

Important!

The next steps include Payment Plans and Postbacks for the user, you can SKIP these steps if you do not need to set them up at the moment of the affiliate creation:

Affiliate Creation Step 3 - Payment Plans (Optional)

In this step you can create payment plans specifically for this affiliate.

For more information about Payment Plans please refer to our Payment Plans guide.

  1. Choose a name for the payment plan

  2. Set the model type (CPA / CPL / REV SHARE etc...)

  3. Set amount and currency

  4. Choose dates (Make sure to select a date range and not 1 date!)

  5. (Optional) Set conditions for the plan such as countries.

Affiliate Creation Step 4 - Postbacks (Optional)

In this step you can set up postbacks for this specific affiliate (you can also do this later if you have a need for postbacks and can skip this step)

You get the postbacks needed to fire to the external tracking system of your affiliate and set them here:

  1. Set the postback for lead creation event

  2. Set the postback for FTD event

Affiliate Creation Step 5 - Summary

This is the final step where you will see a summary of all the details so far and you can click on Done to create the user

After clicking Done you have our API documents the affiliate needs in order to be able to send you traffic.

You can also click on "copy" in order to copy and share it with them. This data includes important info they need for them to send you traffic, such as username, password, their AI (affiliate id) and the GI (box number).

If you have forgot the integration details for this affiliate you can always view them again by clicking on API details

Second option - creating a partner via an invite link:

You can also create a new affiliate by sending them an invite link and allow them to register themselves.


Click on the 3 dots at the top right and then get the relevant registration link and send it to the partner you want to be added to your system.

They will get here after entering the link:

After the affiliate registers via the invitation link by clicking sign up, you will need to approve them. Only after you approve them they would be able to login to your Trackbox.


Editing an existing partner

In case you want to change some details of a certain partner, for example, change their username, you can do so from the Affiliates / Employees screen respectively.

Click on the relevant partner, make the necessary changes in "Details" tab and click save Changes.

You can change the partner's role by clicking on the role and choose the role you want to grant them.

You can also make other changes such as:

Change the status of the partner

Active - An active user that has access to your Trackbox.

Inactive - Not an active user, can't access nor send you traffic.

Only API access - A user that can send you traffic by API but can't access your system.

Deleted - Same as deleting the user.

Additionally you have the option to go full screen and view all of the settings more comfortably.

You can control the traffic you're getting from an affiliate by choosing if you would get duplicate email, phone, IP:

This allows you to control your duplicates per an affiliate and not for all affiliates (Which you can control from system settings)

If your affiliate have forgot their password or can't access the system you can reset their password:

Next, you can assign affiliates under an affiliate manager or a master affiliate and see all entities that are assigned to them.

Same goes for brand managers and their brands.

You can also remove entities.

For example lets use this brand manager, you enter the "Brand Assignments" tab and manage the brands there:

Please note that you can't assign affiliates under another affiliate. The user you're assigning users under them has to be an affiliate manager or a master affiliate.

No need to assign affiliates under a general manager, or brands to a general manager as they have access to all entities.

Please note that if you're trying to assign an entity to a user and you can't see it in the list it's probably due to the fact that the entity is already assigned to them. You can make sure by searching for the campaign by name / CI.
