How to use Budgets?

Stay on track and protect your profits.

The Budgets feature empowers teams to monitor project progress, manage labor and fixed costs, and gain real-time visibility into profitability and performance. Whether you’re overseeing multiple clients, projects, or internal initiatives, Budgets help you:

  • Improve project visibility

  • Stay within scope and budget

  • Measure and maximize utilization

  • Protect profit margins

  • Make smarter, data-informed decisions

This guide walks you through creating and managing Budgets on Tackle.

1. Navigate to the "Budgets" tab on the sidebar.

2. Click the button “+ Create New Budget”.

3. A setup window will appear. Complete the following fields:

  • Project name: Choose a relevant project or client name.

  • Assign users: Select individuals, groups, or all users who’ll contribute to this project.

  • Planned hours: Define how many hours you expect the team to spend.

  • Time period: Choose a fixed date range or a recurring timeframe (e.g. 50 hours between March 1–31, or 50 hours per month).

  • Property: Select the property associated with your budget (e.g. project name). Once all details are in, click “Create Budget”.

4. Tackle automatically tracks hours logged on calendar events tied to your selected properties. You'll see live comparisons of planned vs. actual hours, and utilization rates (e.g. % of time used).

5. Click any budget to expand its view. If you've added labor costs and billable rates for your team, you’ll instantly see a profitability analysis for that project.

6. Edit labor cost or billable rates

  • To update labor costs, go to the Members page.

  • To edit billable rates (which may vary by project), click directly on the rate in the project view, enter the new value, and click Save Changes

7. If you have any additional costs apart from labor costs, as is often the case in professional services, you can add them by clicking "+ Add fixed cost".

8. With all costs accounted for, Tackle continuously calculates your real-time profit margin, helping you track performance, budget adherence, and overall project health.

9. On the Budgets page, use filters to view budgets by status, making it easier to keep track of current vs. past budgets, as well as those on track, over or under budget.

By combining calendar data with budget tracking, Tackle gives you a powerful way to monitor performance and profitability without spreadsheets or guesswork. Use Budgets to stay in control of time, costs, and outcomes - so you can deliver successful projects, protect margins, and move your business forward with confidence.
