1. Automate Absence Rescheduling

To use a skill, you have to create a "Skill Set".

Go to Apps, search for the TIMIFY Assistant app you installed previously and simply click on it. There, you will find the Absence Rescheduler skill and click on the Add Skill Set button to start creating your automation with Timi.

Then, fill out the name for this Skill Set.

1.1 Triggers

In the first section, you can see which conditions can trigger the Absence Rescheduler skill. You also have the option of assigning a tag to some bookings that you would like to exclude from this (available only if you have the Enterprise plan).

The lead time is a very important setting in this feature. Let's say your employee has a holiday in June and won't be available for his bookings. By setting the lead time to four weeks (for example), Timi will start rescheduling the bookings of your employee four weeks before that (in this example - from May). This allows you to choose the perfect time when Timi steps in so that it's not too early or too late for your customers.

Our Tags feature allows you to specify whether you want to use this only for specific customers, or you can apply it just for specific services by selecting them in the Service Conditions field.

1.2 Actions

The first switch "Notify About Affected Bookings" allows you to select if you want to receive an email with the affected bookings each day.

In the next setting, "Reassign Affected Bookings to Alternative Resources", Timi will reschedule the affected bookings to alternative Resources who will be notified of the changes.

There is also the option of prioritising specific customers by using tags. For example, imagine if one of your employees has ten bookings to be reassigned to other employees, but their schedules are already busy, and you can only reassign five of them.

If you activate this setting and tag your priority customers, they will be the first ones to receive the available slots, ensuring they're always well taken care of.

If there are no available Resources for rescheduling, then the customer will receive an email which will kindly ask them to reschedule the booking themselves. Here, you also have the option to confirm this manually before executing the action.

After finishing the setup, you may want to customise and preview the email you created.

If there are still bookings which are not rescheduled (e.g. if alternative Resources are fully booked or the customer hasn't rescheduled themselves), then you will get an email alert so that you can reschedule them yourself or reach out to the customer if needed.

Lastly, you can choose how and who to notify, thanks to the Notification Settings.

1.3 Outcomes

You are able to see how much time your employees save by using Timi and how much costs you save for your business.

In the section "Outcomes", you can specify how long an employee would have been working on such a promotion and how much this employee earns on average per month. We will create a statistic using the data you provided.

By default, we use a 15-minute carry-out time and 1200 Euro salary, but you can change this data.

If you use a voucher code, activate the first option (see screenshot below), so the revenue will be calculated based on the services booked via the promotion mail.

Otherwise, we calculate the revenue using the average price for your services.

Last but not least, save your new Skill Set. Now you don't have to worry about rescheduling bookings for unavailable Resources, because Timi has you covered.


2. Statistics

If you want to see the statistics Timi has collected for you, simply click on the TIMIFY Assistant App and go to the tab Expenses & Outcomes, where you will find all your Skill Sets and the relevant statistics for each one.
