Create event series and events in Sessions

This instruction is part of the Sessions guide and only works for users who have trainer permissions.

Click on 'More' in the navigation menu, then select 'Sessions'.

Select one of the Sessions listed. If no Sessions are listed, please ask your admin to unlock Sessions for you. See how to set up automations for attendees and trainers.

Click on 'Add +' to add a new event series.

You can now fill in the fields for the event series:

At event series level, you can fill in the following fields:

  • Event series title (optional): if no title is added, the event series title will be the same as the Session title.

  • Target groups: learners who can register for the event series (see description below)

  • One or multiple events (see description below)

  • Host email (optional): a generic host email for participants to contact if they have questions, e.g. 'trainers@company.org'. If no host email is provided, learners can choose from the list of hosts. Their email is then sent to the host's personal email address.

We recommend adding a generic host email especially if you want to keep the trainer's email address hidden for GDPR concerns.

  • Registration start and end date

  • Number of attendee spots available

  • Allow waiting list: Checking this box will allow learners to join a waiting list when the event serie is full (read more about waiting list).

  • Comment (optional): an extra description about this event series

Events

At event level, you can fill in the following fields:

  • Event title (optional): if no title is added, the events in the series will be numbered with 'event 1', 'event 2', etc.

  • Start date and time of the event

  • End date and time of the event

  • One or more hosts

  • A webinar link (it can be Teams, Google Meet, any link to a video conference tool you will use for the event)

  • A location address (in case you are hosting an offline or blended Session)

  • Attendance to be confirmed by host (optional): this means the host needs to submit an attendance list after the event to confirm that all the attendees actually showed up to the event.

  • Comment (optional): a message to your attendees that will appear as a description on the event

Target groups

For each event series you can select one or more target groups. Only the learners from these target groups will be able to register for the event series.

The groups that you can select from are the 'attendee' groups configured for this specific Session. Meaning that you should have unlocked the Session for these groups, and as a trainer also have the correct permissions over these groups.

You can specify target groups in two ways:

  • Select (regular) groups

  • Create segmented groups

Select groups

Here you can pick one or more groups that were configured for this Session. If learners are in any of these groups, they can register for the event series.

Create segmented group

Here you can also pick one or more groups that were configured for this Session. However, in this case learners need to be in all of the selected groups before they can register for the event series.

Segmented groups are convenient for trainers if the available platform groups are not selective enough. You can then create another group by combining existing groups.

Example:

  • There is a group for all 'Store managers' and a group for the country 'Denmark'.

  • However, as a trainer you do not want to create an event for all store managers (worldwide) or for all employees in Denmark. You want to create an event series only for store managers in Denmark.

  • You create a segmented group, with group 1 'Store managers' and group 2 'Denmark'. Only learners who are in both groups can register for the event series.

Final note on groups

You can select and combine multiple groups and segmented groups. ☝ Please note that there is no point in selecting a certain group as a 'regular' target group (e.g. 'Store employees'), then use that same group in a segmented group ('Store employees from Denmark').

If the entire group of 'Store employees' is already given access to the event series, the segment 'Store employees from Denmark' won't have any effect. The segmented group already has access through the group 'Store employees'.
