How to notify users?

Want to get your employees more involved in learning? Notifications are the way to go! You can prompt them to take action or inform them how they're doing on the Growth platform.

How to set up notifications?

Head to Control to create a new automation for each notification you want to send.

Not sure how to do that? Check out this article first.

As with any automation, start first by answering the following questions:

  1. When should it happen?

  2. Under what conditions should it happen?

  3. What should happen? (In this case, Notify user)

For example, let's say you want to remind a user to complete a piece of content. You can set up your automation with:

  1. Periodic event (Check periodically)

  2. Activity X needs to be completed

  3. Notify user


Add notification

Now, it's time to add your notification!

Step 1. Give it a subject in the Title field. This will appear in the platform notifications and as the email subject if you send an email notification.

Step 2. Write your message in the Message field.

If you intend to pair an email notification with your in-app notification, proceed with Steps 3 to 5. Otherwise, skip to Step 7.

Step 3: Choose 'Send email' to append an email to your notification.

Step 4: Fill out the email message. Using the rich text editor, you can format your text with bold, italic, H2, H3, H4, hyperlinks, and image options.

πŸ‘€ Good to know: Emails have a greeting "Hi [user name] and a 'Go to platform' button. All you have to do is fill in the middle part! Sometimes you'll copy and paste the regular message text; other times, you'll use slightly different text.

Step 5: Preview your email by clicking the "Send test email" button. You can either select a user from the platform or enter a custom email address.

πŸ‘€ Good to know: Test emails don't include the variables.

Step 6: Choose your email template (it's always Notification (Global))

Step 7: Do you want to notify managers? Then, select to_manager and choose one of the following options:

  • Direct manager: Sends notifications only to the immediate managers of the users who meet the conditions.

  • All managers: Sends notifications to all the managers with reporting permissions for users who meet the conditions.

Step 8: Do you want to notify buddies? Then, select to_buddy. Visit the Buddy Feature help article to learn more about this option.

Step 9: Check "Send only once per user" if you want the notification to be sent only once per user rather than every time the automation is triggered.

πŸ’‘ 'Check periodically' events are triggered only once per user. Hence, there's no need to select the 'Send only once per user' option when using this event.

Remember to use this option for when you use a different event for the automation.

Step 10: Make sure 'Recipients' is always set to user and 'User source' to event -> user


Adding an image to your email notifications

Step 1: Acquire the URL of the desired image. You can do this by right-clicking an image on the web and selecting 'Copy image address'. Alternatively, upload an image to your 'Content Builder' under the 'Images' section.

Step 2: Once the image is uploaded, right-click on the image. A dropdown menu appears, select 'Copy image address' to get the URL.

Step 3: In your email's editing mode, look for the 'Image' option in the rich text editor's toolbar. Click on it, and a dialogue box asks for the image URL. Paste the copied image URL here.

With these simple steps, your email notifications are now more visually engaging!
