Menu Versions Overview
Versions are a function of Toast Multilocation Management (MLM) that allow you to share some aspects of your menu setup while maintaining the ability to make overrides for individual locations or location groups. With versions, you can share the bulk of your configuration across locations in your restaurant group with the flexibility to make location-specific changes as needed.
Note: In cases where all of your locations share the same menu, you don't need to version it - just make sure the menu is configured to be used by all locations.
For more information on versions and MLM, see the Enterprise module overview section of the Toast platform guide.
Create a Version of a Single Menu
To version your menu in order to make location-specific changes, follow these steps:
In Toast Web, navigate to Menus > Menu management > Edit menus and select the name of the menu you'd like to create a version of.
In the Menu details section near the top of the page, select + New Version.
A drop-down will appear for both the Target and Owner fields. Set the target as the location or restaurant group you would like to create a version for. Note: The owner will automatically change to match the target.
The target dictates which locations have access to that version of the menu.
The owner indicates which users will have the ability to edit the menu. For more information, see our platform guide: Owners and permissions.
Once you have the location/restaurant group selected, select Submit. You will return to the menu detail page with the updated version you just created.
You can confirm that you've versioned your menu by navigating back to the Edit menus page. Your versioned menu will appear twice.
The same steps apply for versioning a menu group, menu item, and modifier group.

Bulk Version Your Menu Elements
You can version your menu information in bulk using the Items database.
In Toast Web, navigate to Menus > Bulk management > Items database.
Use the tabs at the top of the page to select the menu element you'd like to version (i.e. menus, menu groups, items, modifier groups).
Select the checkbox to the left of every item you'd like to version, and then select + Version at the top of the page.
Select the Target and Owner on the pop-up window, and then select Submit.
You can view all versioned menu entities in an expandable view on the Advanced properties page (Menus > Bulk management > Advanced properties).
Archive/Remove a Menu Version
There are a few different places in Toast we can go to remove a version of a menu element:
Archive the version from the details page. At the top of the menu/menu group/item/modifier group details page, you'll see an overflow (...) menu button next to the Save button, where you'll have the ability to archive a menu.
Archive a menu version from the Edit menus page. The overflow button to the right of a menu will allow you to archive that menu directly from the Edit menus page.
Archive any menu element using the Items database. Search for the version you'd like to remove using the tabs at the top, and the search bar below. Use the checkbox on the right to select the menu element, and then select Archive.
You can also archived menu elements from this page as well. To learn more, see Use the Items Database to View and Manage Menus.
