Use this guide to choose which Toast Web reports to run on a weekly, monthly, quarterly, or yearly cadence to monitor sales, labor, deposits, and payouts.

About This Guide

This is a cadence-cut reference. Each cadence section below lists the Toast Web reports most useful at that frequency, what to use each one for, and where to find it. Reports that apply to more than one cadence appear in each relevant section.

Toast also sends a Daily and Weekly Performance Summary email — if your weekly review depends on the email, see Daily and Weekly Performance Email FAQ for what's included and how to manage recipients.

"Payout" vs. "Payout Overview Report"

"Payout" can mean two different things in Toast.

  • The Payout Overview Report is a report in Toast Web at Toast Web > Reports > Payments > Payout overview. It consolidates Deposit Totals Overview, Settled Deposits Daily Breakdown, and Daily Card Activity into one view of all your payouts for a selected period.

  • A payout is the deposit that arrives in your bank account from Toast — the actual money. The Payout Overview Report lists payouts; it is not the deposit itself.

When this article says "Payout Overview Report," it means the report. When you need to investigate a missing or late deposit to your bank account, see What This Article Is Not For.

Weekly Reports

Use these reports every week to review sales, reconcile cash and credit, build the upcoming schedule, and verify payroll inputs.

Sales Summary

Compare week-over-week sales, discounts, refunds, voids, and tips; reconcile expected vs. actual cash deposit for the week. See Sales Summary Report Overview.

Toast Web > Reports > Sales > Sales summary — or select Sales summary under Quick Actions on the Toast Web homepage.

Sales Breakdown

Compare two sales metrics for the week — for example, sales category by service area, or item name by server. See Sales Reports Overview.

Product Mix (PMIX)

Identify top-selling items week-over-week; spot trends when making menu changes. Use the Compare drop-down to view two weeks side by side. See Product Mix (PMIX) Report Overview.

Labor Summary

Verify time entries, hours, overtime, and pay before each weekly or bi-weekly pay period. See Get Started With Analytics and Reports → Labor Reports.

Hourly Sales

Determine whether the restaurant is over- or under-staffed when building next week's schedule. Sales and labor costs are broken down in 15-minute intervals. Scroll to the Total row at the bottom for the day-or-week labor percentage.

Settled Deposits Daily Breakdown

Reconcile credit card deposits day-by-day for the week. Shows totals by sales date, chargebacks, and refunds.

Check on any pending credit card batches when reconciling weekly.

Payout Overview Report

See all weekly payouts in one view, with fees, withholdings, and refunds itemized per payout. See Reconciliation Report and Payout Details Overview.

Cash Activity Audit

Send weekly cash activity to your accountant. Use the download icon to export.

Note: The Daily Performance Summary email is sent every day at 9 a.m. ET. The Weekly Performance Summary email is sent within five hours of your restaurant's business cutoff day — the day depends on your first-day-of-the-week setting. Use these reports monthly to compare month-over-month performance, send activity to an accountant, and review menu performance.

Snapshot of menu performance across all of the restaurant group's locations for the month — items, modifiers, special requests, and Open Items.

Quarterly Reports

Use these reports quarterly to compare against the prior quarter or the same quarter last year, and to track multi-location performance.

Important: Year-over-year comparisons that include multiple locations across a wide date range can time out in Sales Analytics. Narrow the date range or reduce the number of locations selected, then try again. If the issue continues, contact Customer Care.

If Your Reports Don't Match

If two Toast Web reports show different numbers for the same period, the most likely causes are below. Match your situation to the row, then follow the link for the full explanation.

PMIX excludes service charges, tips, partial refunds, and unlinked refunds. PMIX applies refunds to the original sale date; Sales Summary applies them on the refund date.

Settled Deposits Daily Breakdown total doesn't match the Payout Overview Report

The Payout Overview Report subtracts fees, withholdings, refunds, and Toast Capital deductions from each payout. Settled Deposits Daily Breakdown shows the gross card batch.

Reconciliation Report and Payout Details Overview — use this as the source of truth for what hit your bank.

Bank statement doesn't match Sales Summary

Bank deposits net out fees and withholdings; Sales Summary shows gross. Refund timing also differs.

Sales are recorded when a check is opened; payouts settle later and include adjustments.

Which Toast Web Reports Should I Run Every Month?

Run the Sales Summary, Sales Breakdown, Product Mix (PMIX), Menu Breakdown, Location Overview (Labor), Cash Activity Audit, Settled Deposits Daily Breakdown, and Payout Overview Report monthly. How Do I Reconcile Settled Deposits to the Payout Overview Report?

To reconcile Settled Deposits to the Payout Overview Report, use the Reconciliation Report and Payout Details Overview as the source of truth. Settled Deposits Daily Breakdown shows gross credit card batches. The Payout Overview Report consolidates that data and subtracts fees, withholdings (including Toast Capital and Easy Pay), refunds, and Toast Delivery Services fees. If the two reports don't tie out, open the Reconciliation Report at Toast Web > Reports > Payments > Reconciliation — each payout line opens a Payout Details view showing every transaction, fee, and withholding that produced the deposit. Note: The Reconciliation Report is currently in limited release with select customers. If you don't see it in your navigation, use the Deposit Totals Overview and Settled Deposits Daily Breakdown reports together.

I Didn't Receive the Weekly Performance Email. What Should I Check?

To receive the Daily and Weekly Performance Summary email, three things must be true: you have the 4.1 Sales Reports user permission, you are listed as an active employee on the Employees page, and you are included in the Email Contact Settings group that receives the performance summary. If you were recently added as a financial contact, expect emails to be delayed until the next reporting cycle. Can I Get a Weekly View of a Metric That's Not in These Reports?

Toast Web reports cover the most common cuts of sales, labor, and payments data. If you need a cut that is not in a native report — for example, weekly hourly payroll spent by manager, or net sales split between kitchen stations — export the underlying report as Excel or CSV using the download icon, then analyze the data in a spreadsheet tool. Use Create Custom Reports for Toast POS or Toast Data Exports to export data from Toast Web or create custom reports for any variables that you require in the report.

How Do I Change My First Day of the Week for Reporting?

To change which day your reporting week starts on (Sunday vs. Monday), contact Customer Care — a representative can update this setting for your restaurant. Does the Same Report Show Up Under Multiple Cadences?

Yes. The Sales Summary, Sales Breakdown, Product Mix (PMIX), Settled Deposits Daily Breakdown, and Payout Overview Report each appear in more than one cadence section because they support multiple review frequencies. Use the date range filter on each report to choose the period you want — there is no separate "weekly Sales Summary" or "monthly Sales Summary" report; you change the date range to change the cadence.
