Access Tonic Scanner App settings

How to use the app functionality.

To validate tickets and admit customers into an event, download the 'Access Tonic Scanner' App for free from the Apple and Google Play store.

Log in

Log in to the app with the same email address and password you use to log into the Access Tonic admin on a desktop device, or generate a single-use code within the Access Tonic admin for one-off app access.

Once logged in, select the event and date to scan tickets for.



Scan section

To scan a ticket follow the steps below:

  1. Open the scan app, and allow access to your camera.

  2. Hold the scanner screen over the QR code on a ticket.

    • If the ticket's valid, the screen flashes green and a tick image shows by the customer's name.

    • If the ticket's invalid, the screen flashes red and shows a warning image by the customer's name.

      • If the error message advises that the ticket's already checked in, click the customer's name to see when the ticket was originally scanned.

  3. Review the ticket information:

    • Number of tickets in the booking.

    • If there are products, data collection questions, or comments associated with the purchase.

  4. To view more purchase information and to access other tickets in the booking:

    1. Click the customer's name.

    2. To mark all the tickets in the booking as scanned in, click Check-in all tickets.


Scan screen settings

  • By default, you can scan all tickets valid for the event and date selected. To change the event or date, use the options at the top of the scan screen.

  • To limit which tickets are scannable, select the ticket icon located in the top right-hand corner of the scan screen. If you can't see the ticket icon, click Settings and activate Restrict Ticket Types.

  • The torch icon activates your phone torch for better visibility of the QR code in low-light situations.



Settings

To view and amend the scanner settings, follow the steps below:

  1. Click the menu icon, then select the Settings tab.

  2. View or amend the settings:

    • Device Name: View and update the device name.

    • Appearance: Set the app theme to light mode or dark mode.

    • Restrict Ticket Types: Only allow selected ticket types to be scanned, or show a button to allow the scanning of selected ticket types to be overridden.

    • Allow Check In All: Enable the ability to allow the check-in of all tickets upon scan.

    • Haptic Feedback: Device to vibrate on scan.

    • Audio Feedback: Device to play a sound upon scan.

    • Scan With Internet: Upon scan, the app attempts to validate and sync every ticket with the admin.

    • Validation-only mode: The app scans to validate a ticket, but not check it in.

    • Show Add Guest Tickets: Enable the ability to add a guest to the attendee's list via the app.

    • Realtime Updates Tickets: Instant updates across devices.

      • When deactivated, updates occur every 60 seconds.


Recommended scanner settings for large-scale events

Fast Ticket Scanning

Optimum scanner set up to swiftly admit a large volume of customers into an event.

  • Activate 'Allow Check-In All' - enables the ability to check in all tickets within a booking at the same time. The 'Check-in All' button is shown when a ticket is scanned.

  • Deactivate 'Scan With Internet' - unless you have a strong internet connection, set this feature to off. See the section above for more information.

  • Deactivate 'Realtime Updates Tickets' - unless you have a very strong internet connection, set this feature to off. See the section above for more information.

Large Scale Event

Optimum scanner set up when ticket scanning a large-scale event.

  • 'Device Name' - if you have multiple event entry/scanning points, set a unique name for each device so that you can record how many tickets have been checked in on each device. This data is displayed on the 'Dashboard' tab of the app.

  • Deactivate 'Scan With Internet' - unless you have a strong internet connection, set this feature to off. See the 'No/Weak Internet' section for more information.

  • Deactivate 'Realtime Updates Tickets' - unless you have a very strong internet connection, set this feature to off. See the 'No/Weak Internet' section for more information


Recommended scanner settings for events with no/weak internet

You'll need internet access to load the attendee's list onto the scanning device. Once synced, you do not need internet access to be able to scan tickets. Once the device is connected to the internet the check-in data will sync with the 'Check-in' section of the event admin.

Optimum scanner set up for cases where the app has no or weak internet access:

  • Deactivate 'Scan With Internet' - this feature attempts to use the Internet to sync a ticket with the admin after every scan. If there's a weak internet connection, it will slow down the speed at which the ticket is checked in. Set this feature to off, and instead, the app will automatically attempt to sync the device's check-in data with the admin and other devices every 60 seconds. Please note, if switching 'Scan With Internet' to off and the same ticket is scanned within the same minute, the ticket may not flag as already checked in.

  • Deactivate 'Realtime Updates Tickets' - this feature attempts to update tickets in real-time. Unless you have a very strong internet connection, set this feature to off. This means the app will not immediately try to update tickets and instead, will attempt to sync updates every 60 seconds.


Recommended scanner settings for events with ticketed time slots/sessions.

Optimum scanner set up to only check in specific ticket types (e.g. only scan tickets for a certain session time).

  • Activate 'Restrict Ticket Types' - activate this feature to enable a ticket icon on the scan screen which will allow you to select the specific tickets you want to check-in. Unselected tickets will not successfully scan.

  • 'Enable Override Button' - If you have restricted scanning to specific ticket types, activate this feature to enable the ability to override the restriction when needed. Enabling this feature will display a button upon scan which allows you to check the ticket in.
