[Zapier] Edit a Client Expiry Date

Use Zapier to edit an existing client expiry date

Your customer has just renewed her payment and you want to extend her expiration date? You can set up an automatic update through Zapier!

This is the field that will be updated once the change is made.

If you are not familiar with Zapier yet, click here first to understand the basics.

In this tutorial we'll use Email Parser as the Trigger.

Create your Email Parser Mailbox

To start, you must create an Email Parser box dedicated to this update. You can do this directly from your Zap. In Zapier, click on MAKE A ZAP.

Name your Zap. It could be something like "Edit expiration date when a customer renews."

Then in the next step, enter Email Parser in the search field to select it as the Trigger app.

Under Choose Trigger Event, select New Email, then click on Continue.

In the next step, you will need to connect your Email Parser account.


If you already have an account, it will appear in the list. If not, click on 'Add a New Account'.

This will automatically direct you to the Email Parser website, which will ask for your permission to connect with Zapier.

Once the connection is made, on Email Parser's website, you can click on Create Mailbox. An email address will be created automatically.

If you are not redirected automatically to Email Parser go to https://parser.zapier.com/ to access your account.

Select the information that will be sent to TotalCoaching

You will now need a confirmation template that you receive when your client renews.

This confirmation could look like a payment confirmation for example. In this tutorial we will take the example of a payment confirmation by Stripe.

Forward it to the Email Parser mailbox that you just created.

Now back to your Email Parser mailbox, once the email has been sent, the information will automatically load.

You can now identify the information that needs to be mapped.

To edit a client on TotalCoaching we will need the client's first name, last name and email address. So these are the data you'll extract.

Select each corresponding information and label it.

Once mapped, the extracted information will be highlighted in yellow, and replaced by their label.

At the very bottom of the template, click on Save Address and Template to save.

Complete the Trigger setting

Back on your Zap setting, select the mailbox that you used to configure the mapping, then click CONTINUE.

Your Trigger is configured. Zapier will suggest you to test it, by clicking on Test trigger. If the test is validated, click on CONTINUE.

Set up the Zap Actions

Look for TotalCoaching in the search bar.

Then, select the TotalCoaching account you want to update. Click on Add a New Account if you're connecting your account for the first time.

You will need the client's TotalCoaching ID in order to change their expiration date. For that reason you will need to add an additional action to the Zap in order to find the customer's ID from their email. *** Note that Zapier will ask you to upgrade to Premium to access this feature. ***

Once the account is connected, under Customize Edit Expiry Date, select Custom, then click on Add a search step.

In Choose App & Event, select TotalCoaching.

In Choose Action Event, select Find Client by Email, then click on CONTINUE.

Now select your TotalCoaching account from the drop-down list then click on CONTINUE.

Select the client's email extracted from the template. You'll get is as an automatic suggestion in the search.

Click on Test and Continue.

You then get to the last step which is the action of updating the client expiration date.

Click on CONTINUE, select your TotalCoaching account then click on CONTINUE again.

Under Client: you can clearly see the ID that has been added.

Under Group: select the group in which you want to update the client, keeping in mind that the same client can be present in several groups.

Under Expiry Date: add the access time you want to give the client, in number of days, as shown in the image.

Don't forget to add a space just before the '+'.

Click on CONTINUE, and don't forget to turn your Zap ON! Your Zap is ready!
